Inspection Officer - Initial and Large Site Accommodations reporting to: Senior Inspector - Initial and Large Site Accommodations
Location: Wales and Southwest
Contract Type: Permanent
Hours of Work: 40 hours per week (Monday to Friday, 8:30 am - 5:00 pm)
Salary: £26,215 - £40,660 per annum
Purpose of the Job
The Inspection Officer is responsible for managing all aspects of accommodations, service delivery, and personnel standards to ensure compliance with contractual obligations and statutory regulations related to initial and large site accommodations. The role involves conducting inspections, reporting non-conformances, and working closely with onsite accommodation staff to ensure service delivery meets required standards. Extensive daily travel is required, and the postholder must hold a full UK Driving Licence and have access to their own vehicle.
Duties and Responsibilities
Procedures
Assure the standards of services provided to asylum seekers in Initial and Large Site accommodations at least once a month and report non-conformances according to internal policies and procedures.
Work closely with onsite accommodation staff to ensure they understand the requirements and standards for services to be provided to service users.
Meet with designated officers (accommodation staff or subcontractors) at the start of each day to discuss the day's inspection plan.
Conduct close-out meetings at the end of the day to discuss findings and recommendations.
Review services provided across diverse risk domains, including subcontractor documentation, risk registers, and service delivery instructions.
Review compliance documents and monitor actions to meet recommendations, presenting findings to stakeholders.
Inspect services and accommodation areas, ensuring a minimum of 5% of rooms are inspected to inform potential non-conformance.
Raise any defects or non-conformances in the system in accordance with internal processes and guidelines.
Ensure defects and non-conformances are rectified within contractual guidelines, reviewing and recording resolution evidence.
Collaborate with the business to track and resolve non-conformances, ensuring timely remediation in line with contractual standards.
Provide periodic reports on inspection activities, identifying risks and offering recommendations for improvements. Share areas of good practice to improve team and organisational performance.
Facilitate and attend inspections or audits of accommodations as required by UKVI and other statutory bodies.
Liaise closely with accommodation staff to ensure compliance with service standards required under the AASC contract.
Provide detailed responses to queries from UKVI or other stakeholders as directed by the line manager.Pre-Audits of Accommodation Ahead of Go Live
Conduct pre-inspections and audits of proposed accommodations for suitability and compliance with required standards before going live.
Review all building compliance documentation (Standard Operating Procedures, Fire Risk Assessments, Gas, Electric, Legionella certificates, etc.).
Review accommodation occupancy to ensure all rooms are utilised in compliance with the contract and customer guidelines.
Confirm that proposed accommodation complies with contractual and statutory requirements for occupation.Support for Service Users
Ensure stocks of documentation and materials to support service users are maintained and kept up to date in accordance with contract requirements.
Review onsite staff processes to ensure service users are supported to register with doctors and schools for children of statutory school age.
Ensure onsite staff are aware of actions to support service users and implement processes to signpost them to local shops, support agencies, etc.
Conduct monthly visits to ensure outstanding incident reports are raised.
Ensure onsite staff follow procedures to move service users out of accommodation (Move-on process) no later than the date specified in UKVI letters.
Ensure staff implement necessary processes to maintain service users' health and safety, including regular welfare checks as required by the contract.
Complete a specific number of welfare checks per month, prioritising the most vulnerable.
Work in partnership with the Safeguarding Team to address and signpost any safeguarding issues/concerns raised during inspections.
Collaborate with accommodation staff to ensure recommendations from UKVI Inspections and FRA recommendations are followed through to completion.Connect and Collaborate
