About The Role
Overall purpose of Role
To implement the Document Control Policy and Process across the organisation through managing, organising and maintaining North British and third party controlled documents. Ensure all documents are accurate, secure, and easily accessible in line with the requirements of NB management systems across both Edinburgh and Muirhall sites.
This is a site based role with strong operational presence.
Background
An experienced Document Controller with experience working in an engineering or projects environment.
Technical Experience
A minimum of 5 years experience in an engineering and projects environment is desirable.
Basic knowledge of engineering terminology and written documentation.
Strong IT skills, with demonstrable experience with MS Office, Word and Excel.
Excellent document formatting skills and knowledge.

Main Responsibilities:
1. Working as part of a team to ensure that all activities on site are carried out in accordance with the relevant work instruction, adhering to the necessary Company health, safety and environmental requirements and complying with all regulatory current legislation to maintain a safe working environment for all employees.
2. Maintaining an awareness of the regulatory and Company standards that apply to the role such as H&S, COMAH, Environment, HMRC, FEMAS (food & feed safety), ISO9001. Understand and act in accordance with the Site Emergency Response Plan in the event of an evacuation or major incident, and regularly participate in COMAH improvement activity.
3. Manage and organise Documents – Sort, file and store documents in electronic and hard copy formats with close attention to revision control in line with NBD Policy and Procedure.
4. Review Documents – check for accuracy and compliance with regulations and make revisions.
5. Distribute Documents – send documents to the relevant people or departments.
6. Ensure all documentation numbering aligns with document control structures as defined in Management Systems.
7. Generate transmittal in documentation in order to distribute to internal and external parties.
8. Archive Documents – store outdated versions of documents.
9. Format documents into appropriate templates as defined by QMS.
10. Responsible for coordinating and liaising with stakeholders in order to update technical documents such as:
1. Policy and Process documents
2. Hazard/Risk Assessment Studies
3. Work Instruction Risk Assessments
4. Functional Safety Management Plans
5. Asset Management Plans
6. Basis of Design and Standards
7. Process and Equipment manuals
11. Lead administration of the NBD Documents management system providing support.
12. Perform other administration duties as necessary.
13. Undertake any training or qualifications that are required to fulfil your role competently and/or to meet changing legislative and safety requirements.
14. Any other duties that may reasonably be required in line with your contractual role.

We are a distillation and maturation business selling grain spirit which is used as the base for blended Scotch Whisky by many well-known brands. The Distillery is based in Gorgie (Edinburgh) and this site is responsible for the production of new-make spirit, producing a by-product of animal feed, and energy via an Anaerobic Digestion plant. Our main Warehousing site is based in Muirhall (Addiewell, West Lothian), with 15 maturation warehouses and responsibility for bonding, storage and disgorging.
