Summary This role combines traditional administrative duties with advanced IT responsibilities, requiring expertise in Microsoft tools to streamline processes, manage data, and contribute to their health and safety operations. Principal duties and responsibilities General Administration Manage emails, phone calls, and correspondence. Organise and maintain client and project records. Assist with day-to-day office management and coordination. IT Systems Management Leverage Microsoft 365 tools, including SharePoint, Teams, Power Automate, Power BI, and Dynamics 365, to manage workflows and data. Create and manage automated workflows using Power Automate to improve efficiency. Analyse data and generate reports and dashboards in Power BI for internal and client use. Documentation and Reporting Prepare and format health and safety reports, risk assessments, and method statements. Maintain and update health and safety policies and procedures in a shared digital environment. Collate health and safety report data and issue monthly safety reports to clients. Scheduling and Coordination Coordinate client appointments, training sessions, and site visits for the consultancy team using Microsoft Teams and Planner. Assist in organising health and safety training, including managing attendance and preparing materials. Client Support Respond to client queries and provide administrative assistance. Ensure a professional and timely service for all communications with clients. Person Specification Essential Proven experience in an administrative role with a focus on IT systems. Advanced proficiency in Microsoft 365 applications: SharePoint, Teams, Power Automate, Power BI, and Dynamics 365. Strong organisational skills, with the ability to manage multiple tasks and meet deadlines. High attention to detail and accuracy in all work. Excellent written and verbal communication skills. Ability to work independently and collaboratively within a team. Ability to work under tight deadlines. Desirable Experience in a health and safety or compliance-related field.
