Job overview
We are looking for a Ward Clerk to join our team on ward 1, Acute Trauma & Orthopaedic SMH. The successful candidate will be welcoming patients and their families/carers on arrival to the unit, maintaining patient records, supporting the nurses and medical staff in administrative tasks & discharge planning, answering the phone, and liaising with other areas for clerical needs.
The post holder would need to provide a courteous, efficient and professional ward clerk service, making a valuable contribution to support patient care from the time of admission, transfer or discharge. The successful candidates would be the first contact point for all department visitors and members of the multi-professional team, so good interpersonal skills are essential.
We are looking for a well-organised, enthusiastic individual to work within our dynamic team, with a good working knowledge of IT to help us to ensure our trust care values are met and that care is delivered to the highest standard.
You will need to be able to apply a methodical approach to a varying workload. You should be self-motivated, have excellent communication/interpersonal skills and have the ability to work on your own as well as part of a busy team where the work can be deadline driven.
Main duties of the job
1. Act as the focal point of administrative communications for the ward, taking all telephone enquiries and acting as initial point of contact for routine callers to ward.
2. Ensure that all callers and visitors are attended to courteously and promptly.
3. Enter basic patient data onto the computer/book, especially admission, transfer and discharge details.
4. Prepare documentation admission and discharge packs for use by the nursing team.
5. Maintain inpatient notes on the ward in an organised and methodical manner, including printing patient front sheets and labels.
6. Ensure patient notes are sent for coding/scanning in a timely manner, and all activity is recorded on the computer system.
7. Deal with incoming and outgoing post in a timely manner and ensure incoming post is distributed as required.
8. Update the staffing/patient boards daily.

Person specification
Education, Qualification & Training
* English Language GCSE grade C or above or equivalent
* IT/Computer skills or equivalent with recent work experience in this field
Experience
* Experience of taking and responding to telephone enquiries from customers and within own organisation and prioritising as necessary
* Six-month experience of working within NHS environment/customer care
* Experience of using computers in a work environment
* Minimum six months receptionist experience or other relevant experience
Skills, Abilities, Knowledge
* Ability to communicate clearly in spoken English
* Ability to write legibly and clearly in English
* Ability to relay messages clearly and accurately
