An exciting opportunity has arisen for an HR & Office Coordinator to work closely with the Head of HR to provide HR Administrative support, coordinating key HR activities through the employee lifecycle. The successful candidate will also support the Executive Assistant to ensure we have an efficient office and we are compliant with ISO and HSE requirements.
Key Responsibilities
1. Recruitment and Onboarding – coordinating the process of recruiting and onboarding new talent into OryxAlign, including supporting the selection process, sending out offers of employment, onboarding the new starter and engaging with the process to ensure there is a smooth integration into the business.
2. HR Systems administration – updating employee records, issuing documentation and ensuring accuracy of records are completed in a timely manner. Running reports and processes through the HR System including building of new template documents, processes, forms etc.
3. Employee Experience – monitoring and gathering information through the onboarding process and quarterly employee surveys.
4. Research into policy/legislation changes and horizon scanning to input to policy reviews and development.
5. People updates and HR communications keeping employees updated on activities within the HR function.
6. General HR support and HR projects support, including input to strategic projects driven by the Board.
7. Take an active role in the Social & Wellbeing Team.
8. Office duties include ensuring supplies are ordered, general facilities management, welcoming visitors, assisting with all-in days.
9. Taking an active role in the Health & Safety Committee.
10. Managing a suite of office policies and procedures including review, audit and adjustment.
What we need from our HR & Office Coordinator:
The successful candidate will be highly organised with a strong eye for detail and accuracy. You will be highly confidential and confident in handling sensitive information. You will need to be flexible and able to prioritise a range of requirements in a busy role and office often managing conflicting priorities.
You must have good communication skills both written and oral, with a high level of emotional intelligence to support a range of teams and individuals. You will be engaging with a variety of stakeholders and should have the skills to foster a collaborative and supportive environment.
Experience and expertise
Essential:
1. Experience in a busy HR team as an HR Assistant or Administrator.
2. Knowledge of HR Systems – with the ability to accurately update records.
3. Level 3 CIPD or working towards this qualification.
Desirable:
1. Experience of using Cezanne HR.
2. Understanding of Health & Safety.
3. Understanding of ISO9001.
