To provide an efficient & effective procurement and supply service to the Trust This includes: Process orders within the department, ensuring internal processes and policies followed in timely manner ensuring products available for patient care. The management of products required by wards and departments through materials management top ups and download to NHS supply chain using electronic data capture units. The management of e-procurement requisitions onto systems and creation into purchase orders for goods and services, ensuring the right goods are ordered from the right supplier at the right price to be delivered at the right time and to the right place. The management of products required by wards and departments using inventory management using data capture at point of use. Development & review of ward / department materials management systems / inventory management systems / purchasing patterns / stock control and stock requirements. The post holder will have designated areas within the Trust to support a complete procurement and/or material management and/or inventory management service and provide vital support to teams for product requirements. Provision of a customer services function to users by in relation to products ordered including notification of discrepancies/returns to NHSSC on behalf of customers within the NHSSC timeframe; and communication with external suppliers, by assisting with routine queries such as delivery timescales and providing assistance and advice as necessary to the ward or department. To participate in meetings with clinical staff when required, to be innovative and to challenge and improve the service provided and required. To be able to explain and persuades customers to adopt the correct supply route. To fully appreciate the needs of the customer and have the necessary skills and knowledge to provide the correct type and level of stock required. Ability to analyse data regarding stock levels, orders, deliveries, receipts, and returns and assists with the provision of information including the production of reports/analysis of usage patterns. Benchmark Trust data against National/regional data highlighting areas of difference. To provide advice to end users as required on a range of procurement issues including most appropriate supplier, product, method of supply /distribution, price, value for money, delivery / lead time. Assist in the roll out and utilisation of e-procurement end user requisitioning as required by verbally advising users or giving face to face training in how to operate the system. Undertake analysis of Financial and purchasing spend within NHS Supply Chain and non-stock ordering that will enable a significant reduction in the levels of inventory that the Trust currently holds. Assist with the implementation of Inventory Management roll out, duties will include cataloguing items, counting stock, assist with organising storerooms. Upload category details and pricing onto e-procurement system. Provides labelling of ward/department stock/storage areas as required enabling stock to be stored and used efficiently and the putting away of stock to agreed standards. Work with KPO in the implementation and sustainment of 5S methodologies. Ensure that the Trusts procurement is undertaken in accordance with the organisations Best Practice and Financial Standing Instructions. Knowledge of Health & Safety issues with particular knowledge of handling and safe storage of materials, COSHH implications of material purchasing. The post holder must appreciate how the role of Supplies fits into the strategic and financial objectives of the Trust. To work within a team environment and contribute fully to the aims and objectives of the department, be hardworking and committed to the outcomes of the Organisation with a professional approach to all aspects of work. To deal with users of the Supplies service in a professional & customer focussed manner; communicates facts and ideas clearly and effectively to both internal and external customers. Demonstrates tact, diplomacy and integrity and acts honestly, openly, impartially, objectively and fairly when dealing with internal and external customers; and is flexible and adapt to changes in circumstances which impact on the total supply chain. Ability to organise own workload. Participates in formal audits of materially managed areas. Whilst there is no direct budget management the post holder will be expected to understand the Trusts budgeting process and the allocation of cost mechanism. The department is targeted with savings and the post holder will be expected to contribute in meeting this target. The post holder will spend a significant amount of time in the ward / department environment.
