Job Description
We are currently seeking a Payroll Administrator (Payroll Shared Services Admin) to join our Payroll and Shared Services team at our Spalding site.
As Payroll Administrator you will provide a comprehensive and accurate administrative support service covering the employee lifecycle process in a timely manner and in accordance with employment legislation and Company policy and procedures.
You’ll support the delivery of an accurate and timely payroll administration service for all weekly and monthly payrolls
This is a full time, permanent position working Monday to Friday 8.30am to 4.30pm offering a competitive salary and the opportunity to work with a market leader.
Job responsibilities of Payroll Administrator include:
1. Administer the Payroll in-box and deal with and respond to any payroll queries in a timely manner.
2. Assist in processing the monthly and weekly payrolls. Including the calculation and accurate input of weekly and monthly timesheet, in accordance with agreed processes and procedures and undertake the checking process within the required timeframes.
3. Ensure that all absence and attendance records and contractual and statutory payments such as SMP/CSP/SSP are calculated and recorded accurately and completed within required timeframes.
4. Set up statutory and third-party deductions within the payroll system, including parking fines and attachment of earnings orders and ensure that they are accurately deducted in a timely manner.
5. Administer the weekly and monthly pension communication in line with government legislation.
6. Prepare weekly and monthly paid payslips and make them available to colleagues within their self-service platform in a timely manner.
7. Generate and distribute payroll related reports using tools such as payroll systems, Excel & Pivot Tables - delivered accurately, professionally and in a timely manner.
8. Communicate overpayments of pay to assist with the recovery of monies in a timely and acceptable manner (In conjunction with Finance team – debt recovery).
9. To work collaboratively with the HRSS team to make sure a professional, effective, and efficient service is given to all colleagues across the business.
10. Work with the Payroll Shared Services Manager to keep the OVOTT (one version of the truth) up-to-date and ensure that all contracts of employment and changes to terms and conditions of employment are aligned
11. Notify the Payroll Shared Services Manager of any anomalies outside of company policy and procedure.
12. Undertake general ad-hoc administrative duties, such as scanning and filing, as required and as directed by the Payroll Shared Services Manager.
Qualifications
To apply for the role of Payroll Admin you will possess the following skills, experiences and qualifications:
13. Experience of working within a time-critical, high volume multiple Payroll environment although not essential and training will be provided, if required.
14. Knowledge of Excel, including experience of using Pivot Tables to create detailed reports, training will be provided, if required.
15. Experience in the use of other Microsoft office suite of products such as word and outlook.
16. Experience using IT packages relevant to Payroll Systems e.g.: HMRC, Third party although not essential and training will be provided, if required.
17. Flexibility – Willing to adapt, change when circumstances dictate & adopt new processes.
18. Thoroughness & Attention to detail – checks accuracy of output & prioritises tasks and activities.
19. Knowledge and understanding of the requirement for confidentiality.
20. Highly organised with ability to prioritise and multi-task high volume of daily work requests.
21. Seeks opportunities to develop experience and learning and works to expand role for personal growth.
22. Works hard to maintain appropriate image both internally and externally.
