The Office Administrator position will support approximately 200 colleagues on-site at our Oxford office and will be a customer-focused point of contact for colleagues and suppliers. The role will provide administrative support by using the purchase order system, processing invoices, and paying suppliers. The position will support the Office Administrator in ensuring buildings are compliant in all areas of health and safety, including building inspections, compliance with contractor control and the review of RAMS and other associated documents. This position will support on-site events and meetings and help ensure a first-class colleague experience. As part of the UK team, the position will require supporting other locations remotely and occasionally in person, as needed. How You Will Make An Impact Managing the Service Now portal where colleagues raise requests for building services. Working closely with contractors (both hard and soft services), carrying out contractor inductions, obtaining quotes, supervising and quality checking work, monitoring KPIs, invoicing and contract administration. Support business with office moves and space planning. Support other Wiley premises in London remotely and occasionally in person. Ensuring that staff and contractors are health and safety compliant. Training to become a First Aider at Work, a site Fire Marshal, and assist with reviewing contractor RAMS and issuing Permits to Work. Carry out monthly physical site inspections including building maintenance, cleaning standards, health and safety, housekeeping. Document these audits, and action any issues, seeing them through to completion. Support postroom operations, including management of couriers. Strive to improve delivery standards and look at continuous improvement. Raising Purchase Orders & coding of invoices. Other tasks as required by the management team to support operational delivery. Desired Skills A-levels or Equivalent Experience working in Facilities Management in a corporate environment. Strong numeracy and literacy skills. Able to write and compose concise and clear letters/emails with good grammar and spelling. Advanced Excel / Office suite of skills to analyse, interpret data, and summarise this into a report—all essential requirements of this position. Able to work semi-independently with a high attention to detail and meet deadlines.
