EQUANS is looking for a Office Administrator to join our team based at Heysham Nuclear Power Station on a permanent basis. This is a full time working 37 hours per week. On offer is a competitive salary and benefits package. You will be an integral member of the Office Administration and reception support team delivering all Office Services. You will support the delivery of a professional and efficient administrative support to the Office Service in line with the organisation’s goals and values. What will you deliver? Undertake General office admin duties. Raising Purchase Orders. Absence management – Process return to works. Carry out Security clearance for all Equans staff and contractors. Payroll – Process timesheets and submit. Process Holiday sheets. Using the photocopier and Scanning of documentation. General filing. Monitor and maintain Working Time directive. D&A Testing. Subcontractor compliance monitoring. Labour inputting into Maximo. Staff training and Vetting procedure for Security site access clearance. Ordering of skips and maintaining database. Updating SAP (absence, expenses). Undertake Reception duties which may include: Answering and diverting the Main Switchboard, receiving, acknowledge, distributing and posting of mail, general filing, help desk, all other associated reception tasks. Have good communication skills at all levels, both verbal and written. Able to demonstrate great attention to detail when inputting data and figures. Able to work to deadlines and timescales on a daily basis. Flexible approach to working is essential, along with the ability to prioritise. Ability to work to a high standard, with minimum supervision and work well within team. Understanding of purchase ledgers. Excellent IT skills with Microsoft applications, particularly Excel and other in-house IT Management systems (Maximo/SAP). Excellent communication and customer service skills. Demonstrate good time management skills, including working to deadlines. Needs to be versatile and adaptive and proactive to help out other team members as required. This role includes a Basic DBS check therefore ability to pass is essential. Who are we?
