Job Title: Administration and Data Worker Full time: 37hrs per week Location: High Wycombe Summary: To provide an efficient administrative, data entry, data reporting and reception support to the service Duties and Responsibilities 1Data Entry and data reporting a) Enter client data onto the appropriate ILLY Carepath database. b) Book clients for appointments using an electronic diary system. c) Design, generate and analyse data reports and give feedback to other team members and the manager. d) Ensure that client data is up to date and entered accurately. 2Administrative a) Word process correspondence and reports. b) Generate, print and record service user prescriptions using ILLY Carepath system. c) Maintain petty cash where appropriate. d) General office work, including photocopying, shredding, developing and maintaining office systems including filing system, mailing system, processing post, monitoring and maintaining office supplies (including stationery), arranging hospitality, etc. e) Create and maintain client files, administration of referrals and closure of cases, maintaining confidentiality of all client material. f) Minute meetings as required. g) Liaise with Head Office, other services within the agency and external organisations as necessary using email through Outlook, the internet and telephone. h) Assist with publicising the service by distributing posters and leaflets on request, collating information packs and maintaining supplies of information leaflets in reception, maintaining stocks of health promotion and service publicity material. i) Provide administrative back-up for educational, promotional and training events organised by the service. j) Liaise with contractors and suppliers as directed. 3Reception a) Maintain a tidy and welcoming reception area. b) To receive service users, carers, visitors and professionals politely and efficiently, dealing with any queries tactfully and discreetly. c) Receive telephone calls, recording messages or passing calls on to appropriate person.Operate answer phone. d) Receive enquiries from the public regarding Aquarius work and respond personally or refer on to other staff, as appropriate. 4General a) Assist the Manager in fulfilling Health and Safety requirements, including fire regulations. b) To maintain confidentiality at all times dealing with sensitive issues tactfully and discreetly. c) Undertake training as required by the organisation. d) Prepare for and participate in line management supervision with the Manager of the service. e) Attend and contribute to team meetings. f) To work within Aquarius policies and procedures. g) Undertake such other duties as are required by the organisation. h) To notify the manager of any untoward occurrences which may affect the service, both at a professional and administrative level. i) To be flexible with regard to working hours to meet the demands of the post. j) To understand and work with the ethos, aims and objectives of Aquarius. Terms and Conditions This is a permanent post subject to the satisfactory completion of a six month probationary period. Holiday entitlement is 32 days, plus 8 Bank Holidays, pro rata for part time employees. Salary: £18,461.00 per annum. Potential progression up to £19,890.00 per annum, subject to the post-holder meeting the eligibility and performance criteria. A pension scheme is available. An enhanced DBS check will be required for this post. Within the confines of legislation and as a condition of being able to commence employment with Aquarius, the successful candidate will be required to provide documentation to prove that they are able to work in the UK .Such documentation will include one or more of the following, as appropriate NI number, birth certificate or British passport, certificate of registration or naturalisation as a British citizen or passport/documentation evidencing citizenship of a European Union country.
