The Vacancy
Purpose of the role
Key to the success of Ergéa’s Managed Equipment Services (MES), the Deputy MES Contract Manager supports the MES Contract Manager in ensuring the successful delivery of the contract. This includes overseeing operational performance, ensuring compliance with contractual and regulatory requirements, and maintaining strong client and stakeholder relationships. Acting as the second-in-command, the role provides leadership, problem-solving, and continuity in the absence of the MES Contract Manager.
Primary responsibility is to deputise for the MES Contract Manager, Service Delivery and support day-to-day reactive and preventive maintenance to a range of high-value and complex Radiology and Radiotherapy equipment, such as CT scanners and Linear Accelerators. Also assist in the procurement and replacement of the large medical equipment. Both of these activities are closely regulated and measured by contractual Performance Standards and Service Level Agreements.
Task list
* Operational Management
o Oversee the day-to-day management of the MES contract, ensuring seamless operations, equipment availability, and timely delivery of services.
o Coordinate planned maintenance schedules, equipment upgrades, and replacement programs in collaboration with suppliers and service providers.
o Address operational challenges promptly to minimise downtime and ensure uninterrupted service delivery.
o Travel to satellite sites as required, typically within Oxford, Swindon, and Milton Keynes.
* Client and Stakeholder Engagement
o Act as a key point of contact for clients, maintaining open communication and addressing queries or concerns in a professional manner.
o Develop and nurture strong working relationships with internal teams, clients, and external suppliers to promote collaboration and problem-solving.
o Support NHS partners whenever needed to ensure minimal disruption to the operation of the hospital. Requires a patient-first attitude.
* Compliance and Quality Assurance
o Ensure compliance with all health, safety, and regulatory standards, including MHRA and NHS guidelines.
o Maintain safe working practices within the hospital environment.
o Monitor adherence to contractual obligations, ensuring all deliverables meet or exceed quality expectations.
o Conduct regular audits and risk assessments to identify and address areas of improvement.
* Financial and Performance Management
o Monitor KPIs, SLAs, and other performance metrics, ensuring targets are achieved or exceeded.
o Support the MES Contract Manager in tracking budgets, managing costs, and identifying opportunities for financial efficiency.
o Assist in producing detailed performance reports for internal and client review.
* Team Support and Leadership
o Provide leadership and guidance within the MES team, fostering a positive and productive working environment.
o Step into the Contract Manager role during absences, ensuring continuity of service and leadership.
* Process Improvement
o Identify opportunities for improving operational processes and procedures, implementing best practices to enhance service delivery.
o Participate in strategic planning initiatives to support contract development and growth.
* Always prioritises the needs of the client while balancing operational efficiency.
Capability profile
Qualifications
Engineering or Clinical Background, preferably in Diagnostic and/or Radiotherapy. Essential.
Skills
Keen and able to learn quickly, have good attention to detail, excellent communication skills, good IT skills, and the ability to reason and to deal with ambiguity. A flexible and positive ‘can do’ attitude towards your work is also essential.
Excel proficient and MS 365 proficient. Essential.
Knowledge of Contract Variations, Accounting/Finance, and Building and Construction helpful. Desirable.
Fault call handling and escalation. Desirable.
Experience
Experience in managing or supporting large-scale contracts, ideally within MES, healthcare, or a similar clinical/technical environment. Essential.
Clinical background is helpful in the position. Desirable.
Strong understanding of medical equipment management, including maintenance schedules and compliance requirements. Essential.
Proven ability to manage client relationships, address concerns, and deliver excellent customer service. Essential.
Mobility requirements
Role location Site based at The Churchill Hospital, with travel to The John Radcliffe site as well as satellite sites such as Milton Keynes and Swindon.
International travel Possible – Training Courses.
