Job Summary
Macdonald & Company are delighted to be working again with a Global Real Estate Consultancy on the appointment of a Building Manager. You will work across a 70,000 sqft. Grade A office asset and will be responsible for managing the delivery of an effective and compliant facilities management service through in-house staff, suppliers, and consultants, across hard and soft services, to a single complex building. Working closely with Property Managers, you will be responsible for managing and maintaining relationships with all tenants and third-party contractors.
Responsibilities:
1. Prepare, monitor and reconcile service charge budgets
2. Check and approve expenditure against service charge budgets
3. Provide best in class customer service to internal and external customer base
4. Maintain regular and effective communication with clients and tenants
5. Manage site-based staff, ensuring all people-related policies and procedures are followed
6. Maintain regular and effective communication with internal colleagues in Property Management, support functions and the wider Real Estate business
7. Monitor works conducted/service provided by suppliers
8. Audit and inspect supplier delivery
9. Measure and report supplier performance against agreed SLAs
10. Manage suppliers to ensure effective, safe and compliant delivery of all M&E related services, including: life safety systems, vertical transportation equipment and public health systems
11. Work effectively with a range of specialist consultants to deliver agreed outcomes
12. Procure goods and services, following procedures and policies
13. Develop, agree and manage capital replacement programmes
14. Prepare management reports for a variety of stakeholders and attend/chair management meetings as required
15. Undertake regular building inspections, complete reports and initiate/progress any required works
16. Ensure compliance with all current statutory legislation in respect of health and safety and the environment
17. Manage local environmental activities in order to meet statutory obligations and achieve/retain industry standards e.g. ISO 14001 working with the sustainability team
18. Ensure compliance with all internal procedures and policies – e.g. Procurement, Finance, Compliance, HR
19. Ensure security and emergency procedures are robust and adhered to at all times, taking an active role in the event of emergency situations
Person Specification
1. Management of in-house and supplier staff
2. Management of supplier relationships
3. Good health and safety and environmental knowledge
4. Good mechanical and electrical services knowledge
5. Excellent English language skills – both written and spoken
6. IT literate – MS Office at intermediate level and other relevant software (e.g. Meridian, Proactis, Snapshot, Tramps) at a level to undertake the role satisfactorily
7. Experience of managing single-site environments
8. Experience of managing a single-site environment in excess of 100,000 square feet and/or service charge budgets in excess of £1m
