About the Department:
The Chief Operating Office is the engine that powers and enables the Investments business. We have unparalleled expertise, innovative ideas, and dynamic ways of working. The PA team plays a critical role in supporting the Chief Operating Office, enabling the smooth operation of the department which comprises ~400 colleagues globally.
About the role:
Reporting to the Business Manager, the PA role will provide an efficient, proactive, and professional support service to our Investment Chief Operating Office (ICOO). The role holder will primarily support the Investment Chief Operating Officer; work closely with the ICOO Leadership Team and their teams to ensure completion of all activities required to ensure success in the role. These administrative tasks include, but are not limited to, the below, and are expected to be delivered to high standards and within agreed timescales.
Key Responsibilities:
1. To co-ordinate the LT member’s diary and organise all meetings and associated planning, facilities, and technology.
2. To provide pro-active inbox management including highlighting items to be actioned, filing and responding on behalf of, where required.
3. To build professional and effective relationships and create a strong network (internally and externally) to help support the ICOO achieve their business objectives.
4. Build extensive knowledge of the organisation and team, their governance and regulatory requirements and understand key personnel both internally and externally.
5. To ensure the LT members are well prepared for all meetings including papers and providing or arranging briefings on all relevant information.
6. Have an understanding of the best practice for online meeting facilities including how best to utilise and troubleshoot.
7. Coordinate and prepare presentations using Microsoft PowerPoint.
8. Support on team communications e.g. weekly comms, townhalls, etc.; utilising various channels.
9. Coordinate and prepare various reports and papers as required.
10. To arrange travel/accommodation, travel visas and prepare itineraries – UK and overseas.
11. Processing of expenses for the LT members.
12. Processing of invoices maintaining the departmental budget.
13. Create, update and maintain digital filing systems.
14. To coordinate agendas for team meetings, take minutes/action points, distribute and follow-up actions.
15. Maintain records for the ICOO for regulatory reporting.
16. Provide assistance on ad-hoc projects or requests as required.
The successful candidate in this role should meet the following requirements:
1. Significant previous experience in a similar role.
2. Previous experience in the Financial/Asset Management industry is preferred but not essential.
