ROLES AND RESPONSIBILITIES
Kraken is seeking a Business Support Lead to join our team in Aberdeen, Scotland.
The Business Support Lead is responsible for providing high quality efficient and effective support to the business in a professional, timely and cost-effective manner to help achieve organisational efficiency whilst creating a positive and inclusive environment.
Responsibilities will include:
* Lead, mentor and motivate the business support team to meet performance goals, reviewing, prioritising and redistributing work where appropriate.
* Provide general support to office and workshop staff, responding to queries relating to office management requests and challenges.
* Organise and manage business/administration procedures, ensuring processes and policies are documented and stored on IMS.
* Developing and maintaining local office SharePoint pages, including global company calendar to track key events and office closures.
* Manage travel bookings for UK personnel.
* Collaborate with corporate support functions (Finance, HR, IT, HSE, Quality, Marketing & Supply Chain) to streamline existing policies and procedures.
* Streamline business system use, ensuring governance and consistency with documented procedures/ work instructions/ training materials for all levels of users.
* Make full use of technology to improve/digitise processes and efficiency and to promote agile ways of working.
* Management and coordination of Kraken training Academy, working with department SME’s to develop new training modules as required.
* Oversee facilities management for UK facilities, including office equipment and track office/facilities overhead budget.
* Maintain contact with facilities service providers, dealing with landlord/hiring contractors as needed.
* Supervise and mentor school and student placements.
* Support business with monthly reporting and KPI dashboards.
* Lead and organise the UK social committee, including organising events.
* Support supply chain team with requisition monitoring and processing as required.
* Support HQ Finance department with business unit accounts/invoice queries, including UK corporate credit card reconciliations.
* Assist HR and IT with set up for new starts as required within the office.
* Planning & organising staff meetings and other internal events (onsite and offsite).
* Actively promote and support all corporate HSEQ initiatives.
* Develop internal communication protocols (encourage use of board room).
QUALIFICATIONS AND EXPERIENCE
* Previous experience across a range of business administration support functions
* A good understanding of Business Management/ERP Systems
* HNC in a business/commercial related subject, or equivalent work experience
* Marine Technology industry experience preferrable
* Highly proficiency in MS Excel, MS Word and MS Outlook is essential
* General knowledge of various office 365 tools, including Teams and SharePoint
