Executive Assistant (EA) - Office Based
The Executive Assistant is a newly created role to provide comprehensive administrative and personal support to the CEO and COO. This role is critical in ensuring the smooth operation of the executive's schedule, communications, and key business and personal tasks. The EA will function as a strategic partner, helping the executive manage time, prioritise tasks, and facilitate efficient decision-making within a fast-paced environment.
Key Responsibilities:
* Proactively manage and maintain the executive’s calendar, scheduling appointments, meetings, travel including accommodation, and event attendance.
* Coordinate all logistics for meetings, including agendas, minutes, follow-ups, and necessary materials.
* Screen, prioritise, and manage emails including sending correspondence, making phone calls, and other communications on behalf of the executive.
* Act as a primary point of contact, handling inquiries and relaying messages to and from the executive.
* Support ongoing business projects by managing timelines, tracking deliverables, and ensuring task completion.
* Manage both personal and business-related projects, ensuring deadlines are met.
* Manage expense reports, budgets, and reimbursements for the executive.
* Undertake office manager duties and order office supplies, coordinate office needs and manage office-related tasks as required.
* Provide support on ad-hoc projects, including research, event planning, and team engagement initiatives.
* Anticipate the executive's needs and proactively bring together resources to support timely decision-making.
Experience: 3-5+ years as an Executive Assistant, Personal Assistant, or in a similar role supporting C-level executives or senior leaders.
Education: Bachelor’s degree in business administration, Communications, or a related field preferred.
Skills:
* Exceptional organisational and time management skills, with the ability to prioritise and multitask.
* Strong written and verbal communication skills.
* High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other digital tools like Teams
* Ability to handle confidential information with discretion, professionalism, and diplomacy.
* Problem-solving and decision-making abilities to support and anticipate executive needs.
* High adaptability, flexibility, and a proactive approach to addressing challenges.
* Excellent interpersonal skills, with the ability to work well under pressure and manage shifting priorities.
* Strong attention to detail and a commitment to delivering high-quality work.
