JOB PURPOSE: To provide an effective cleaning and facilities management service to Asda Distribution centres in the cluster and ensure the Depot GM’s and Line Managers are communicated with on a frequent basis and in an open way. All services are to be delivered through the direct reports and effective control of Managed and Alliance Partners within the depots and must be within budget and in accordance with Health and Safety Guidelines and Asda compliance procedures. KEY TASKS Operations Effectively manage and plan own work load and schedule and also that of your team by the implementation of PFSCFS. Manage all Planned Maintenance schedules, ensure that paperwork is up to date and correctly filed on site and that planned maintenance works by both in house and external City technicians and Managed/Alliance contractors are to prescribed standards and within the defined SLAs and KPIs. Manage all reactive calls within the depots and ensure they are attended to within defined response and job completion KPI’s and that equipment is left in a satisfactory and safe state if the repair requires further work to be completed at a later date. Conduct regular audits on the processes and procedures to ensure that DMT’s, DMA’s, DHM’s, ACES and Managed/Alliance contractors are delivering to the agreed standards. Manage all budgets within target and optimise best value. Effectively manage all quoted works including establishing the scope of works and review of resultant quotes to ensure best value. Manage all facilities maintenance projects in distribution centres from inception to completion in conjunction with the Asda Project teams. Deliver all initiatives on time and in line with performance standards and ensure all feedback requirements are met and success factors can be assessed properly by CFM and ASDA. Manage all OOH services and shift schedules to ensure that sufficient personnel are always available to respond to the service specification on a 24/7 basis via planned shifts and well managed standby rota. To recruit technicians and Hygiene Managers in line with company policy. Coach, motivate & where necessary follow the disciplinary process to ensure people performance is optimised. Direct the team’s activity through monthly meetings to focus team members on areas of performance requiring attention and/or improvement as well as delivery of new briefs with checks to ensure understanding and onward delivery. Manage all requested site surveys and ensure delivery to deadlines. Manage and control all overtime for maintenance colleagues ensuring this is kept to a minimum Manage and control all parts and tools requests from City colleagues. Manage all contractor service delivery within ASDA Distribution centres in line with agreed SLAs and scope of works. Manage and monitor that all activities are in accordance with Health and Safety guidelines. Manage and deliver all cleaning services within depots ensuring cleaning team leaders are fully trained, developed and motivated to lead the Depot cleaning team. Ensure visibility of communications to both the team and Asda managers. Attend regular site meetings with ASDA DC General and Line Managers to an agreed frequency. Manage all energy and sustainability initiatives within the distribution centres through regular monitoring and reporting of all energy consumption. People Lead and manage the performance of the cleaning team and maintenance teams within the cluster and take necessary action to manage performance and disciplinary issues in line with the company procedures. Accountable for the management and control of the Payroll/Paywrite authorisation in line with company procedures Responsible for the completion of one monthly depot payroll audit within cluster and return to Central Operations. Manage Depot Hygiene Managers and Senior Maintenance Technician holidays and absence within the cluster in line with company procedures Ensure that all holiday and absence is managed by DHM’s and SMT for all other colleagues in a timely and efficient manner. Responsible for recruitment, induction and training of DHM’s, SMT and Technicians in accordance with Company Procedures and Depot cleaning budget Be accountable for the coaching and training of DHM’s, SMT, DMT and DMA’s Coach and develop all direct reports to ensure they have the capability to deliver all operational standards To carry out Disciplinary and Grievance when required in accordance with the company policies and procedures Actively promote “Colleague Voice” principles within the Cluster Develop and actively promote “We’re Listening Survey” actions for each depot. Carry out Appraisal’s inline with the company guidelines working towards development of colleagues and succession planning within the cluster. Have the responsibility of ensuring a high standard of personal hygiene and adherence to laid down dress regulations of the cleaning team at all times Ensure that personnel files are compliant and in line with the company procedures within the cluster.
