• Manage clinic schedules and patient attendance for your specialty, working closely with consultants and other stakeholder departments.
• Liaise with consultants regarding patient queries and be a key contact for consultants and other clinical staff.
• Accurately transcribe clinical letters using Winscribe, producing high quality work within defined deadlines. Typing of non-clinical letters as required.
• Use judgement and initiative to prioritise the importance/urgency of tasks within defined guidelines.
• Establish and maintain patient admin systems/databases.
• Dealing with incoming mail, results/reports management.
• Attending/organising meetings, take minutes.
• Ensure RTT patient data quality is accurate.
• Assist in booking diagnostic testing i.e. MRI scans and inpatient sleep studies.
• Managing advice and guidance service on a rota basis with the other SPAs within the children’s department.
• To be responsible for ordering of new ventilation equipment, liaising with external manufacturers and the relevant departments in the Trust.
• To be responsible for assisting and signposting relevant community teams in the ordering of supplies and consumables for children with long term ventilation needs.
• To be responsible for the ordering and maintaining of consumable stock levels for the LTV service.
• Diary Management for Clinical teams.
• Communication link to directorate management team, regarding consultant leave/service issues.
• Telephone calls inbound/outbound relating to patients specific care, in a confidential manner.
• To support the Children’s LTV and Community Teams to develop and improve services offered to children and families across the regions of Nottinghamshire, Derbyshire and Lincolnshire.
• To support the team in the development and production of written information for parents and families.
• To provide clerical support, including the tracking and retrieval of patient notes, to the multi-disciplinary LTV team and community team.
• To assist in providing guidance and direction to new staff from an administrative perspective.
• To assist in dealing with incoming correspondence and facilitating prompt action on results/reports.
