Brooks Macdonald are looking for a Portfolio Assistant to join our Administration team in Tunbridge Wells or Southampton. Within this role, you will deliver administrative service and support to Investment Managers, Portfolio Managers, clients, introducers and responds to requests from the supporting functions. This is achieved by having a clear and precise understanding of all the processes and procedures that are undertaken within the admin teams. Role Responsibilities: Answer and respond to client and introducer queries on the phone and email Open, scan and save post to client files Ensure that all company policy and procedures are followed, identifying further enhancements to the effectiveness and efficiency of procedures where possible Stay on top of workflow queues and respond to requests in a timely manner Book meetings for the Investment Management team Liaise with appropriate teams for the effective onboarding of new clients Initiate incoming and outgoing transfers, keeping the Investment Manager/ Portfolio Manager updated with progress Instruct internal transfers of cash and stock from one portfolio to another Ensure review packs are on time for respective client review meetings, liaising with report team to ensure timely production Complete payment instructions from clients, including taking payment instructions and arranging call backs to clients, if required Complete client KYC data amendments and account amendments Process ISA/ LISA/ JISA & Flexible ISA subscriptions Assist with formal reporting query resolution from IFAs or clients Assist, where required, with meeting preparation including printing and binding client and introducer reports and presentations Build relationships with introducers and their para-planning team as well as with clients of the team Take on certain responsibilities in the absence of the Administration Team Lead including checking and approving client payments & internal transfer of assets from one client Attend the weekly Senior Portfolio Assistant meeting (hosted by the Head of Portfolio Administration) if the regions Senior Portfolio Assistant is unavailable Perform role always ensuring adherence to the expected behaviours stated in the FCA Conduct Rules Experience Required: Knowledge of all investment accounts, including GIA, ISAs, Charities, Trusts, Corporates & Self Invested Personal Pensions Good knowledge of internal front office systems (APX, AWD, InvestBM, Client Space, Hubwise Payment Portal) Previous experience working in the Asset Management industry Ability to take on and retain large quantities of complex information Ability to engage with diverse clients, Professional Advisers, Investment Managers, product providers & internal stakeholders Proven ability to deliver successful outcomes for our advisers and clients About Brooks Macdonald We’re a dynamic, ambitious wealth management firm, employing around 450 people across the UK and Channel Islands.
