Purpose of the Role/Role Overview:
The successful candidate will ensure all aspects of work are confirmed and processed compliantly, through to financial completion with all required documents stored and delivered to the client.
Duties & responsibilities:
* Assist with the programming of works with contractors
* Carry out daily duties with aprofessional approach, prioritising customer service
* Facilitate clientqueries, recognising opportunity to prioritise relationships/tasks
* Assist with obtaining Asbestos and other key safe related information
* Raise orders received from clients to track and monitor works
* Issue purchase orders to supply chain and monitor through to delivery
* Liaise with clients on projects in progress
* Liaise with approved supply chain on works co-ordination
* Ensure all works costs and materials used are recorded on systems
* Liaise with clients to get approval to invoice completed works
* Process & approve invoices for suppliers in NAV and customer portals
* Approve passive sub-contract invoices in NAV
* Manage enquiries and quotes using CRM database
* Carryout works progress reviews to ensure all documentation is in place
* Monitor of monthly financial forecast, reporting updates to PMs weekly
* Monitor and process outstanding work in the systems to allow accurate reports
Skills & experience:
* Experience in the Fire Protection industry an advantage
* Previous administration experience within a fast-paced environment
* Excellent communication skills, written/oral, in person/phone
* Good understanding and proven experience of Microsoft packages including Outlook, Word, Excel and PowerPoint, SharePoint
* Excellent customer service skills & attitude
* Sales order processing and invoicing
* Monthly forecast and reporting process
* Ability to work to deadlines and manage workload
* Ability to analyse large volumes of data and provide monthly
* Ability to discuss financial information with a non-finance audience
* Able to build effective relationships with clients and account managers
Benefits:
* Salary £24,000 to £26,000 per annum
