Job Title: Property Administrator

Hours: Part Time - 16-24 hours per week over 2-3 days
We are seeking a motivated and detail-oriented Property Management Assistant to join our team. This role is primarily administrative but also involves travelling for property inspections, viewings, fire safety checks, and maintenance site visits. The ideal candidate must have a valid driving licence and be comfortable working both in the office and on-site. You will be responsible for ensuring smooth property operations, supporting compliance, and maintaining strong tenant and landlord relationships.

Key Responsibilities:
Conduct property inspections and viewings.
Perform fire safety checks and ensure properties meet compliance standards.
Attend maintenance site visits and check work progress.
Raise tenant invoices and prepare Section 13 (S13) rent increase notices.
Manage utility accounts, including entering meter readings and printing invoices.
Regularly update property management software, ensuring all data is accurate and organised.
Organise and tidy up software records related to tenants, landlords, and property compliance.
Liaise with landlords regarding compliance certificates (e.g. gas, electricity, fire safety) and ensure they are up-to-date.
Take and log meter readings during property visits.
Raise work orders for necessary maintenance tasks and coordinate with contractors.
Monitor and track event dates (e.g., lease renewals, inspection schedules, certificate expirations) to ensure timely action.
Address tenant and landlord enquiries in a professional and timely manner.
Coordinate with tenants and landlords to resolve issues, schedule inspections, and provide updates on maintenance or compliance matters.
Requirements:
Valid UK driving licence (essential).
Experience in property management or estate/commercial agency would be beneficial.
Strong organisational skills and attention to detail.
Excellent communication skills, both written and verbal.
Ability to work independently and manage multiple tasks simultaneously.
Proficiency in property management software (training can be provided).
Knowledge of compliance regulations, including fire safety, gas, and electricity certificates, is an advantage
