Paul Davis Restoration is currently looking for an Inside Project Coordinator at our Worcester office.

The Paul Davis Project Coordinators are the ENGINE that drives the ship. The coordinators are vital to successful project management and instrumental in ensuring compliance with any and all program requirements.
One major goal of the coordinator position is for the coordinators to become Subject Matter Experts in their disciplines and in program compliance. Program compliance will vary depending upon the source of any particular project.
Full-Time, Monday through Friday 8-5pm.
Duties and Responsibilities:
1. Phone coverage at all times
2. Make initial contact for all projects regardless of discipline
3. Set up project in RMS
4. Ensure projects are properly linked from RMS to XA and Claims Connect
5. Responsible for date compliance with Customer Contacted and Inspection Scheduled
6. Assist PMs with remaining compliance tasks. Coordinators should be aware of where PMs are with various projects and help to ensure compliance through the compliance tasks.
7. Request updates from PMs on projects especially when approaching compliance requirements.
8. Monitor ConCon Operations Report on a daily basis. Request feedback and updates from PMs for any projects that show up on report.
9. Update and manage the Contractor Connection Dashboard
10. Sort through all Xactware/XA/Claims Connect/Symbility emails. Distribute to the appropriate PM. Assist PM with answering questions, providing necessary feedback, making revisions etc.
11. Maintain job files. Keep accurate records of all work done on each project including work authorizations, contracts, certificates of completion, and other pertinent documents.
12. Assist PMs with work authorizations and certificates of satisfaction.
13. Schedule inspections and equipment pick-ups.
14. Dispatching on new mitigation losses: Once a job is set up, the coordinator is responsible for assigning technicians to the project and ensuring that they have all the information they need to complete the work effectively.
15. Ensure documentation accuracy that may include photos, moisture readings, floor samples, and other information to meet program requirements.
Qualifications:
1. 2+ years’ experience in general office administration/management.
2. Restoration, Construction, or insurance industry experience preferred.
3. Knowledge of RMS-Dash system preferred.
4. Knowledge of Xactanalysis and Xactimate systems a plus.
5. Customer Service skills.
6. Microsoft Office suite (strong emphasis in Word & Excel) needed.
7. Self-Starter and Highly Motivated.
8. Ability to multitask in a fast-paced office environment.
9. Strong written and verbal communication skills.
