About the role
As Receptionist you will ensure the smooth running of our Glasgow office on a day-to-day basis. You will be the friendly face of the business and have the responsibility to ensure that the office space is a clean, tidy and safe environment and best possible experience for staff and visitors. You will use your initiative to support with client meetings, room booking, general administration and being on hand to encourage the smooth running of the working day. There is so much room to grow in this role and make it your own!
You will be a people person with a real initiative and have a proactive, helpful nature. You will spot gaps and take ownership of solving problems or prevent issues before they arise. Importantly you will bring fun and positivity to the office environment.
Key Responsibilities
- Maintain office services by working with internal or external suppliers
- Ensuring that the kitchen is stocked at all times
- Manage all preventative maintenance and ad hoc repairs for the office
- Responsible for the office layout and desk plan and the desk booking system
- Perform office induction to all new starters
- Office cover when the Office Manager is out of the office
- Be the point of contact for ground floor building reception as required
- Ensure the office adheres to requirements in the Health and Safety Policy
- Manage incoming and outgoing post, ensuring customer requests are processed by the appropriate team.
- Management and distribution of marketing merchandise, organising couriers etc as required
- Ensuring meeting rooms are maintained to a high standard and manage room calendars
- Greeting and assisting all visitors on their arrival to the office ensuring a positive experience
- Management of stationary cupboard including printer supplies
- Assisting the management team and other team members with any other projects or ad hoc duties
- Assist with office socials and meets up as well as wider company events
About you
- Previous reception or office administrative experience is a plus but not essential for the right candidate who is keen to learn and grow
- Well-presented, courteous, and friendly attitude
- Strong organisational and interpersonal skills
- You have a pleasant and professional demeanour
- Excellent written and verbal communication skills
- Professional proficiency in the English language
- Strong planning and problem-solving skills
- Can show initiative, and have a 'get it done' attitude
- IT skills including; Macbook, Gmail, and the rest of the Google Apps suite
- Efficient and a high level of attention to detail
- A positive attitude with a 'hands-on' approach to work tasks
- Ability to work well under pressure and to strict deadlines
