Job Summary:
The Support Officer will provide high-level administrative, business development and marketing support to the COO, CEO and the Prothea team, ensuring the smooth daily operations of the office and managing key tasks with discretion and efficiency. This role requires excellent organizational skills, a keen attention to detail, and the ability to multitask effectively. The ideal candidate will be a self-starter with a can-do attitude and strong communication skills. The role is part-time: 2 - 4 days per week.
Key Responsibilities:
* Executive Support: Assist the team with daily administrative tasks, including managing calendars, scheduling meetings, preparing reports, and organizing travel arrangements.
* Business Development: Develop and maintain database of potential partner companies, investors and competitors. Prepare reports on new market opportunities based on web research and intra-company interviews.
* Marketing: Lead the upgrade of the website and keep it current. Support marketing activities, including preparation of collateral for medical conferences.
* Meeting Coordination: Coordinate and schedule meetings, conferences, and appointments as needed. Prepare agendas, take meeting minutes, and follow up on action items.
* Document Management: Draft, edit, and proofread documents, presentations, and spreadsheets. Maintain and organize important company files and records in a secure and efficient manner.
* Office Operations: Assist in managing office supplies, equipment, and vendor relationships. Support the team with occasional event planning and office logistics.
* Systems Administration: Assist in managing the company quality systems and processes, including maintenance of training records, company communications, and policies.
* ESG: Maintain oversight and complete the reporting of ESG programmes.
Qualifications:
* Experience: Minimum 2-3 years of experience in an administrative or executive assistant role, preferably in a startup or fast-paced environment.
* Education: Higher grade Maths and English or equivalent required.
Skills:
* Strong organizational and time management skills, with the ability to prioritize tasks effectively.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with collaboration tools like Google Workspace, Teams, and Zoom.
* Ability to work independently and take initiative.
* Detail-oriented with a strong focus on accuracy and quality.
* Tech-savvy and adaptable to new software and systems.
* Maintain the highest level of confidentiality and handle sensitive information with discretion and professionalism.
