Administration Coordinator

Full time 9:00 - 17:30pm Monday - Friday
Permanent, Office based.
Salary: £28,000 - £33,000 (DOE)

The post holder will be required to assist the Registered Manager to provide day-to-day office support to ensure constant development and improvement, also regarding the implementation of cutting-edge technologies and IT solutions. We are looking for a team player who is willing to face new challenges daily, as in this position no day is the same.
Overview of the role:
To support the Registered Manager and Senior Leadership Team.
1. Reading and actioning of emails in consultation with the Registered Manager, including printing and distribution of relevant emails to personnel and following up on the same where necessary.
2. Going through emails that need the attention of the Manager and dealing with them in order of priority daily.
3. Answering the telephone and keeping accurate notes and records of incoming and outgoing calls and following up with relevant recipients in the organization.
4. Managing the post, filing, and other relevant document management to be able to retrieve them effectively when required.
5. Keeping up to date with company maintenance, insurance, staff training, maintenance of office equipment, purchasing of office supplies, maintaining training profile updates, and maintenance updates to meet registration regulations.
6. Liaising with stakeholders, social services, domiciliary practices, and next of kin as required.
7. Supporting the day-to-day payables, receivables, and documentation regarding invoices and reporting.
8. Dealing with correspondence via incoming email and post.
9. Promoting the home to fill bed vacancies and related documentation.
10. Monthly invoicing and accounting assistance to daily bookkeeping. Dealing with Funded Nursing Care.
11. CQC and regular reporting online and monitoring progress.
12. Taking dictation, audio and copy typing of meeting notes.
13. Carrying out background research as requested.
14. Maintaining the filing system, including contractual, legislative, and personnel filing systems.
15. Implementing Care Beans and Clocking system.
16. Supporting projects and new initiatives to develop the business.
17. Helping to prepare, collect, and analyze surveys and update website and brochures.
18. Ensuring the office is well maintained.
19. Any other tasks relating to the smooth running of office administration.
The successful post holder will be able to demonstrate:
* Excellent time management skills whilst keeping sight of goals amid all pressures.
* Team player mentality.
* Excellent knowledge of Microsoft Office - Word, Excel (including knowledge of macros, pivot tables, and statistical functions), PowerPoint, and Outlook.
