Role Purpose The Project Support Coordinator is a pivotal role within the Project Management Office, providing administrative, coordination and reporting support to the Programme Manager and project team. This role focuses on maintaining accurate documentation, tracking project milestones and facilitating communication with internal and external stakeholders. The coordinator ensures resource allocation is efficient, supports governance and compliance processes, and contributes to continual process improvement by identifying inefficiencies and suggesting solutions. Through proactive problem-solving and effective task management, the Project Support Coordinator helps ensure projects are delivered on time, within scope and to the satisfaction of stakeholders. Accountability Activities and Responsibilities Administrative and Coordination Support Maintain and update project documentation, records and databases for the Programme Manager’s review. Prepare reports, presentations and meeting minutes as required. Coordinate the allocation and scheduling of resources, including personnel and equipment. Facilitate communication between project teams, clients and suppliers. Support the Programme Manager in tracking project milestones, deliverables and risks. Resource and Stakeholder Coordination Assist in coordinating meetings, including scheduling, preparing agendas and distributing meeting minutes. Gather feedback from stakeholders and communicate insights to the project team and Programme Manager. Assist the Programme Manager in stakeholder engagement strategies and communications. Coordinate with internal teams and external vendors to ensure timely delivery of required resources. Reporting and Metrics Tracking Track the effective use of resources, including staff, contractors and materials. Track and report customer feedback to assess overall satisfaction with project delivery. Monitor the percentage of projects delivered on or before the agreed deadlines. Measure the average time taken to resolve escalated incidents. Continual Process Improvement Identify inefficiencies or bottlenecks in administrative and coordination tasks. Document recurring issues and suggest potential improvements to streamline workflows. Assist in implementing process changes as directed by the senior leadership team and the Programme Manager. Take ownership of small-scale, incremental process improvements within the scope of the role. Encourage team members to contribute ideas for improving workflows and processes. Compliance and Governance Ensure all documentation and activities comply with organisational policies and methodologies. Support governance activities, including audits and compliance reviews, as directed by the Programme Manager. Act as a point of contact for compliance-related queries, providing guidance or escalating as needed. Suggest improvements to governance processes based on observation and feedback. Experience, Qualifications and Skills Experience Experience in coordinating and managing administrative tasks. Familiarity with project management tools or willingness to learn. Demonstrated ability to handle multiple tasks simultaneously while maintaining attention to detail and quality. Experience in compiling data and creating reports or dashboards. Strong written and verbal communication skills, especially in preparing reports or minutes. Education/ Qualifications GCSEs/A Levels or equivalent (required) Skills/Capability Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant tools. Experience generating reports and tracking metrics to support decision-making. Soft Skills: Strong organisational skills with the ability to manage competing priorities. Excellent communication and interpersonal skills to collaborate with diverse teams. Willingness to learn, take initiative and suggest improvements.
