The role reports to our Conference and Catering Operations Manager and is responsible for supporting the organisation and delivery of a diverse range of events, including conferences, civic events, and meetings for internal and external clients and partner organisations. This is a hands-on role working directly face-to-face with clients. Focused on delivering a high-quality service, you will have excellent communication and interpersonal skills, be confident in the use of digital systems, and have the ability to develop positive working relationships both within the team and with clients and key stakeholders. This includes having effective communication with event organisers, trainers, and presenters, as well as other departments across Lancashire County Council, to ensure a smooth operation across all conference sites. Scope of Work Meeting Operations – To support the Operations Team Leader in delivering a conference and catering service across Lancashire County Council buildings. Administration Duties – The successful candidate will be the main point of contact for our internal and external clients from initial contact through to the delivery of the event on the day. You will work with your colleagues and Team Leader to ensure that both internal and external clients have the correct information, such as catering, parking, room setup, and audio-visual requirements, to organise their meeting or event. You will ensure timely and accurate processing of data and information into required systems so that information is kept up to date. Meeting Host – It is important for our conference team to be present in our meeting facility to ensure that delegates feel welcome and are directed to the correct meeting rooms on the day of their event. The role also requires you to check if clients are happy with their room setup, equipment, refreshments, and timings, as well as adapt to any additional requirements on the day. Key Skills Handling all first point of contact booking enquiries and providing customers with a comprehensive overview of the facilities that are available and their cost, including face-to-face tours of facilities. Allocation of customer bookings to room availability and confirming customer requirements in the corporate room booking system. Business and hospitality support tasks include support for planning events, including high-profile events, ensuring quality standards are met, and administration to support events are delivered. Awareness and understanding of HACCP and allergens, and all Health and Safety requirements of the service area. The ability to deliver fire safety and facility information to organisers on the day of the event. Person Profile The successful candidate will need excellent time management, the ability to work well under pressure, and strong customer service skills. An excellent level of communication is required both verbally and in writing as you will be dealing with internal and external event organisers and delegates. The ability to work both unsupervised and as part of a team is key to this role. Working Hours The post is a full-time position (37 hours per week). The working hours are between 8 am and 5 pm, working in a rota with team colleagues. There will be occasions where evening and weekend work is required. The team's office base is at County Hall, Preston, with occasional support at other conference sites required.
