Health and Safety Coordinator – Policy and Compliance
Reports to: Senior Manager Health and Safety (Policy and Assurance)
This is a 12-month fixed term position on Crick terms and conditions of employment.

This role will immerse you in a series of projects and science across various research groups and facilities, providing opportunity to put your knowledge in to practice and develop your technical understanding.
Your role will involve helping to implement systems and processes, team administrative support, documentation control, trend management, performance metrics as well as influencing culture and behaviours to support the H&S transformation programme. This function supports cutting edge science by monitoring and advising on health, safety and regulatory compliance issues, trend analysis and reporting. You will gain understanding of H&S legislative requirements and standards and how these are implemented, monitored and trended.
Working and liaising with a wide range of colleagues and partners, you’ll gain insight into how the Crick carries out world class research safely in a highly regulated world class facility. Key responsibilities
1. Act as a point of contact for health and safety matters for groups and other parties on your floor.
2. Provide specialist advice, support and coordination of H&S between groups and other parties on a wide range of health, safety and compliance topics.
3. Support the Hub Health and Safety Advisors on all aspects of health and safety work.
4. Take responsibility for specific projects and initiatives under the direction of the Health and Safety Advisors or Senior Managers of Health and Safety.
5. Ensure regular contact with Groups, STPs, F&I and Science Ops to deal proactively and reactively with safety issues.
6. Support organizing and attending planned health and safety inspections and provide written reports.
7. Ensure that risk assessments of all activities, processes, experimental work, equipment, etc. have been carried out and are current.
8. Be involved in investigations of accidents, incidents and near misses ensuring root causes are identified, that lessons are learnt and that appropriate measures are implemented in a timely manner.
9. Co-ordinate and inspect fire precaution and fire prevention measures.
10. Create and support the development of Health and Safety training programmes.
11. Assist in the process of contractor management and permit to work process.
12. Respond to specific requests from colleagues and partners for advice and assistance in a timely fashion.
13. Assist in the development and maintenance of written health and safety standards, systems of work, guidance and risk assessments.
14. Assist with campaigns and initiatives for the positive promotion of health, safety and wellbeing.
15. Be a member of the Crick Emergency Response Team (ERT).
16. Support the H&S team including administration of systems and generation of performance metrics.
17. Manage training records and ensure records are up to date.
18. Place orders for the health and safety team and for others across the Crick.
19. Collate accident and incident data for auditing.
20. Process expenses and credit card expenditure against budget and Crick policies.
21. Organise logistics for relevant meetings and events.
22. Monitor, forward and follow up actionable queries from the H&S team inbox.
23. Maintain the H&S intranet pages, updating accordingly.
24. Take and circulate minutes and actions at team meetings.
25. Develop administrative processes for managing an up to date filing system.
26. Carry out basic health, safety and security related tasks under supervision.
27. Act as a professional and friendly first point of contact for the H&S team/office.
28. Provide administrative / office support for the entire team as required.
29. Triaging safety enquiries and helping where possible.
30. Travel and accommodation booking for members of the H&S team.
31. Maintain up to date fire marshal records.
32. Ensure first aiders training is kept up to date.
33. Conduct DSE workstation risk assessments, new and expectant mothers risk assessments, and other relevant assessments.
34. Assign Service Now tickets and manage training logistics.
Key experience, qualifications and competencies

1. Experience of an engineering or science field or a relevant degree or equivalent and willingness to learn the application of H&S within a research-based environment.
2. Excellent interpersonal and negotiation skills.
3. Excellent communication skills, with strong presentation and teaching skills.
4. Strong attention to detail, with a proven track record of managing multiple projects simultaneously.
5. Ability to work effectively in a complex and fast paced environment.
6. Experience of using databases and/or spreadsheets.
7. Ability to act with discretion and to maintain confidentiality.
8. Able to work outside normal office hours where required.
9. Familiarity with Health and Safety, Fire and Environmental compliance and legislative requirements.
10. Proficient IT user with good experience of Microsoft Office applications.
11. Experienced in updating intranet pages.
12. Proven ability in drafting concise meeting minutes.
13. Approachable and proactive, with a proven ability to demonstrate initiative.
14. A flexible approach, able to work to tight deadlines.
15. Sound judgement of when to escalate queries.
16. Demonstrable evidence of confidentiality.
17. Minimum Level 3 Health and Safety qualification such as NEBOSH certificate or equivalent qualification with experience.
18. Good level of experience within office administration, preferably within a Health and Safety Environment.
19. Experience in Laboratory hazards and associated controls.
20. Relevant membership of IOSH with the desire to progress to Graduate Membership.
21. Work experience within a research / university environment.
22. Experience with Workday (for Finance and HR processes).
