Trainee Sales & Lettings Administrator (Part-Time)
An exciting opportunity has arisen for a Trainee Sales & Lettings Administrator to join our team. Role Overview:
As a Trainee Sales & Lettings Administrator, you will support the sales and lettings team by managing key administrative tasks and assisting with customer inquiries. You will play a crucial role in maintaining records, coordinating maintenance work, handling communication with clients, and ensuring the smooth progression of sales.
Key Responsibilities:
Coordinate and schedule appointments in collaboration with Property Managers.
Maintain accurate records of maintenance history and ensure regular updates.
Monitor contractor invoices and assist in ensuring completed work is verified by senior management.
Respond to buyer, vendor, landlord, and tenant inquiries regarding maintenance and repair issues.
Assist with coordinating access for utility readings, landlord inspections, and other statutory requirements.
Maintain a comprehensive list of emergency contractor contacts.
Assist in maintaining a set of duplicate keys for all managed properties and help organize property-related documentation.
Handle general inquiries via phone, email, and in-person.
Support in negotiating and progressing sales, including handling offers.
Assist with property viewings, ensuring client needs are met efficiently.
Ensure property listings are up-to-date and matched to client requirements.
Essential Skills and Requirements:
Proven administrative and organizational skills.
Strong written and verbal communication abilities.
Ability to manage priorities and respond quickly to changing demands.
Capacity to work independently and take initiative.
Proficiency in Microsoft Office (Word, Excel, Publisher, PowerPoint) and social media.
Knowledge of local postcodes and property market trends (advantageous).
Smart and professional appearance, with excellent interpersonal skills.
Trustworthy, especially with cash handling.
Enthusiastic and high-energy approach to tasks.
Preferred Experience:
Experience in estate agency administration or a related field is advantageous, though not essential.
Familiarity with property portals and marketing platforms (training provided).
