The main activities of the Workplace Assistant are to support the Head of Building Services in the operational delivery of workplace management, taking ownership and accountability of all soft services within a designated office space and supporting office, agile, and homeworkers.
The ongoing role will involve focusing on providing high-quality support services to internal and external clients and customers, in the provision of an appropriate and professional service within agreed service levels.
This is an exciting role within an adapting work environment meeting the requirements of the business with a key focus on service delivery. It will be both challenging and rewarding and will allow you to gain and develop a broad variety of different skills. You will be responsible for a culture of continuous improvement and to encourage a value-added service provision through innovation and best practice.
The working hours for this role are either 7:30 am - 4:30 pm or 8:30 am - 5:30 pm and will be fully office-based.
Responsibilities
* Ownership for the delivery of outstanding customer service at all times. Providing a first-class service with a "can do" attitude approach to everyone within the company.
* Takes ownership of assigned area within the office ensuring all equipment is hygienically maintained and serviceable at all times.
* Understanding of all mail room services to include the process and distribution of digital and physical inbound/outbound mail (including dealing with couriers and other relevant third parties).
* Liaison with all service providers to ensure hygienic cleaning/monitoring/reporting is carried out. To document weekly & monthly SLA spreadsheet.
* Complete daily floor walk checks and activities as well as providing general maintenance to a high standard. To document and report all faults and works carried out.
* A good understanding of Health & Safety, particularly risk management and environmental management including ISO 14001. Undertake training as and when necessary.
* Carry out DSE's, ensure signage is correctly displayed and maintained at all times.
* Provide high levels of customer care to both internal customers and external clients and visitors. This includes quality of the workspace, along with good standards of housekeeping throughout the building and associated areas.

Essential
* Previous experience in a front of house/facilities management role.
* Be highly organised and be able to remain calm and perform well under pressure.
* Takes a structured approach, prioritises, manages own time, works to high quality standards.
* Takes action to avoid problems or resolves with solutions that best fit the customer and firm.
* Maintains high standards of performance by identifying and creating self-development opportunities.
* Excellent communication skills both verbal and written are essential for this role.
Desirable
* Must be able to think on your feet and take a flexible approach to the duties and tasks as outlined together with a “can do, will do” attitude.
* Previous workplace facilities experience in a corporate/office environment.
