As a top legal 500 firm, Glenville Walker are looking for an experienced legal secretary for our Liverpool office, to support a vibrant team of fee earners who will be responsible for preparing documentation, correspondence, and general secretarial tasks. This role is positioned within an experienced secretarial team and would suit a senior level candidate who is keen to enrich their skills and knowledge, within a business law firm which champions the internal progression of its team members. This role will provide secretarial and administrative support for the corporate department and so candidates must have a breadth of experience in dealing with corporate clients, corporate legal document production management at an experienced level, and case management platforms with a great passion for document transcription.
We are looking to hire a senior level personal assistant, into our modern and dynamic office, that is easily accessible by public transport or by car, with free onsite parking.
You will be responsible for audiotyping letters, preparation of legal documents with a strong focus on corporate document production skills, bills, emails, completion statements and liaising with clients on behalf of the team, as well as accurate management of diaries and case management systems and their reporting facilities. Furthermore, you will have responsibility for ensuring that deadlines are met, and that work is completed accurately and to a consistently high standard.
On occasion during holiday periods, the candidate will be required to cover workflows from other departments; property and litigation but this responsibility is evenly shared across the entire secretarial team.
A successful candidate will have a proactive and flexible attitude with the ability to support inspiring and challenging stakeholders. Furthermore, you will enjoy working in a fast-paced environment, be a confident communicator with exceptional organisational skills. In this role you will be responsible for implementing and maintaining a comprehensive filing and record system ensuring files are maintained in an orderly way. You will be diligent, have outstanding attention to detail and be experienced in using the full Microsoft Office suite (Word, Excel and Outlook) and case management systems. Skills in legal document production management at an experienced level is essential for this role.
As you will be typing for all fee earners in the team in a fast-paced environment, you will need to have the ability to accurately transcribe audio dictation and copy type from draft documents whilst produce documentation in a professional and accurate manner.
The ideal candidate will have:
* 10 years+ experience as a corporate PA/legal secretary
* Highly experienced in document production management skills (with specific reference to corporate documents)
* Both accurate and fast typing speed required
* Strong communication skills (both written and verbal)
* A professional telephone manner with the ability to engage with clients
* Ability to multi-task and keen eye for detail
* Ability to work collaboratively with support teams to enhance fee earners’ financial performance through proactive client billing, reporting and management of matter balances.
* Experience with case management, document management and dictation software e.g. Quill and BigHand
* Proficiency in using the full Microsoft Office suite (Word, Excel and Outlook)
* Experience in maintaining accurate filing systems and databases
* Experience in legal time recording
* Experience in opening and closing of files, new client processes/onboarding and preparing documents for meetings.
* Ability to manage all client matter processes with precisions from conflict checks to file closing
* Efficient and effective organisational skills
* Ability to take charge of comprehensive diary management, travel arrangements and meeting preparations
* Ability to work on own initiative
* Support fee earners to nurture client relationships
* Proficiency in general photocopying and other administrative/secretarial duties.
