Overview & Responsibilities
This position provides administrative support to the Elliott Global Service staff, including the Vice President of Global Service, three Regional Directors, the Service Parts Director, and the Global Sales Director.
Background and Experience
1. A minimum high school education plus 7-10 years of relevant experience, or an associate's degree plus 5 years of executive assistant experience, is required.
2. Strong professional communication skills (verbal and written) are required.
3. Global and cross-cultural experience is strongly preferred.
4. Proficiency with online calendars and Microsoft Office products is required.
5. Previous experience exercising discretion and confidentiality with sensitive company information is required.
6. Must be organized and adept at handling multiple changing priorities in a high-stress atmosphere.
Specific Job Responsibilities/Competencies
7. Coordinate Quarterly GS Staff Meetings (Domestic and International):
8. Research venue/event site options.
9. Assist team members with travel arrangements and lodging.
10. Organize meeting breakfast, lunch, and dinners.
11. Prepare invitation letters for out-of-country visitors and business introduction letters for Elliott Group employees requesting a visa.
12. Organize company-wide meetings and events as requested.
13. Review monthly invoice statements of all charges and fees associated with travel.
14. Assist in the preparation of materials and arrangements for BoD meetings with other EEE entities.
Support GS Staff:
15. Complete a variety of administrative tasks for the Vice President, Regional Directors, Service Parts Director, and Sales Director, including managing incoming calls and correspondence.
16. Renew executive memberships and subscriptions annually.
17. Manage active calendars of appointments and travel schedules.
18. Coordinate and schedule meetings on behalf of the Vice President, GS staff, and other executives.
19. Process invoices and expenses, including the preparation of purchase requisitions, purchase orders, accounts payable vouchers, and expense management.
20. Serve as a representative for the company to outside business agencies.
21. Act on behalf of the Vice President in the community, including charities, community outreach programs, and local schools.
