Job Overview:
The Executive Assistant provides experienced, detail-oriented, deadline-driven administrative support and coordination for 2 members of theBirminghammanagement team. The position requires an organized, politely assertive, articulate professional who can interact effectively with themanagement teamand other executives and work collaboratively withtheircolleagues. The position requires clarity of thought, exemplary communication skills and tactfulness, superior organizational skills, ability to be discreet, ability to manage complex and competing priorities, attention to detail, strong customer service orientation, strong character, and flexibility. The ideal person for the job is someone who responds positively to work challenges and proactively solves problems.
Essential Job Responsibilities:
1. Calendar Management: Manage all aspects of President’s calendar for internal and external meetings, with particular attention to the details of the President’s schedule. Assist in coordinating schedules for candidate interviews. This requires initiative and appropriate discretion with themanagement teamand business colleagues and requires careful tracking of commitments, prioritizing business requests, and accommodating daily changes to the schedule. The objective is to keep themanagement teamon track during competing demands and shifting priorities.
2. Travel Management: Air and ground transportation and complex logistics, hotel accommodations, and client meeting agendas. This requires detailed knowledge of meeting and accommodation locations and travel times as well as themanagementteam’spreferences and expectations.
3. Meeting Management: Coordinate management team meetings, including communications, material development, meeting planning, reserving meeting space, and post-meeting follow up review. Pick up/ prepare lunch and/or plan luncheons.
4. Serve as back-up to the receptionist: Answer, screen, and route incoming calls for the office. Greeting visitors and direct identified employees to escort visitors into the building, sign for deliveries.
5. Correspondence and Documents: Support through drafting, proofing, and/or editing confidential correspondence as needed.
6. Office management: Maintain inventory of office supplies and breakroom supplies.
Essential Skills and Experience:
1. Bachelor’s degree
2. 6+ years of experience in providing senior administrative support to C-level executive(s) is required.

Physical Requirements:
1. Capable of wearing task specific personal protective equipment which may include dust mask, air purifying respirator (i.e., half and/or full faced), safety shoes, gloves, safety glasses, and ear protection.
2. Capable of meeting OSHA standards for manual lifting guidelines: < 50lbs.
3. While performing the duties of this job it is required to stand, walk, and use hands to operate objects, tools, or controls; reach with hands or arms; climb, balance, stoop, kneel, or crouch when necessary for job activity.
4. Ability to stand and/or walk for extended periods.
5. Ability to work in a variety of weather conditions and temperatures.

This role will be based at our Birmingham, AL facility.
