We have an exciting new opportunity for a Gallery Administrative Assistant to join our Mailbox Gallery team. This role is full time, on a permanent basis, working 37.5 hours per week, 5 days out of 7 between Monday and Sunday, based out of our state-of-the-art Head Office in the Mailbox, Birmingham.
As our Gallery Administrative Assistant, you will provide full support to our gallery team, to assist in creating a commercial gallery space that achieves and exceeds sales targets. You’ll be responsible for data analysis, researching art trends and producing reports that facilitate lead generation for artist releases.
This is a client-facing role where your interaction with our loyal clients across the business will be crucial to building and nurturing our relationship with them, going the extra mile to ensure they have a positive and memorable experience with Castle Fine Art.
* Please be aware this is a Monday to Sunday role, working 5 days out of 7. Weekend and Bank Holiday working will be expected in this role, although not every weekend and every bank holiday. This role does not offer hybrid working. *
What the Gallery Administrative Assistant Role Includes:
1. Management of the client database, to update preferences and ensure correct data is stored in line with data protection.
2. Supporting sales and nurturing client relationships both in gallery and over the phone.
3. Assisting with commercial gallery planning, including gallery layout, new launches, VIP client and artist events.
4. Building and nurturing client relationships through excellent product knowledge and customer service.
5. Identifying art and artist trends within the gallery to assist in maximising commercial appeal to clients.
6. Management of our order processing software to complete orders and finalise balance payments.
7. Liaising with clients to organise home approvals on artworks.
8. Management of both stock and orders within gallery and organising delivery of purchased artworks to clients.
9. Data analysis of sales and generating reports to assist with sales.

What We Need From You:
1. Skilled and confident with using IT, such as Excel and Microsoft Office
2. Previous administrative experience is essential for this role.
3. Previous phone experience would be advantageous for this role.
4. Highly organised and a keen attention to detail
5. To be able to devise short and long-term commercial strategies clearly and effectively.
6. Proactive, upbeat, and results-focused personality.
7. Strong communication skills, both written and verbal.
