About the team and the role
At Ocado Retail, our People are always at the forefront of everything we do. The People Assistant will provide comprehensive administration and generalist support for a range of daily operational activities across the whole People Team, including Reward and L&D as well as support in both locations, Apollo and Sunderland.
The People Assistant is a pivotal role in the team and is regarded as the hub of information, ensuring we are providing brilliant basics while always considering colleague experience and continuous improvement to support in the delivery of our People Strategy.
What you’ll do
1. People Team Inbox and Support - The People Assistant will own our People Team inbox responding and resolving first-line employee and line manager queries and / or requests. This also includes responding to queries on our people related Slack channels. Topics this may cover are references, report requests, policy and discount queries as well as any benefit and L&D queries to support the wider team. You may also be required to support employee relations casework, taking notes or supporting on low level advisory queries.
2. People Administration - Produce all People related paperwork including contract and T&C changes, ensuring they are legally compliant, support our ORL tone of voice and are then communicated to all relevant stakeholders considering colleague experience. The People Assistant would then also be responsible for ensuring all colleague changes and updates are processed accurately on our people system, in a timely manner to meet payroll deadlines and with the relevant departments e.g., Payroll.
3. People Process and Systems - Responsible for the maintenance of electronic employee files and People Systems, ensuring information is processed accurately and in a timely manner, as well as organised logically and stored and deleted in line with GDPR legislation. The People Assistant would also be responsible for developing, maintaining and supporting a variety of reports across all People Systems.
4. Support for People Team - Provide administrative support for the wider people team, including Reward, Benefits and L&D.
5. Payroll Support - Collaborate regularly with our payroll and finance team to ensure accurate reporting to support accurate payroll processing, updating with any changes e.g., starters, leavers, changes, considering both sites as well as colleague experience and best practice.
6. People Projects and Development - Contribute to project(s) and day-to-day activity that support positive behavioural, business or organisational change across the whole People Team.

7. You thrive in a fast-paced, dynamic environment, be highly organised and be able to multitask to create clear and realistic plans, flexing these when needed.
8. You will be able work collaboratively across the different functions within the People team and the wider organisation.
9. You’ll have excellent attention to detail skills, with an eye for detail to be able to provide accurate and high quality work.
10. Competent and confident working on internal systems, spreadsheets and powerpoint presentations.
11. Excellent communication skills, both written and verbal.
