Support the Change and Asset Manager in implementing and monitoring governance, processes, and procedures, taking the lead where appropriate and tasking the Configuration analyst to deliver the force's priorities.
The role is responsible for the day-to-day management of asset and configuration data, ensuring value for money and good asset management principles, and has good knowledge of enterprise software license terms and licensing approaches.
Key responsibilities include:
* Providing insights on the latest software licensing position around compliance, consumption, and entitlement;
* Producing and presenting asset management summaries to illustrate the current software and hardware portfolio of assets across the force;
* Maintaining secure configuration and accurate information, controlling IT assets in one or more significant areas, verifying the location and state of assets;
* Analysing and assessing impact, developing and documenting change requests;
* Partnering with force commercial services, undertaking regular comparisons of software license records against audit records of installations;
* Ensuring a quality-focused ethos across the team, and supporting the creation of templates and versioning control in all departmental policies and procedures;
* Ensuring that workflows and Service Desk processes are consistent and follow ITIL best practice;
* Managing the ongoing collation and development of a singular procedure manual for all key IT support tasks, as part of the knowledge base;
* Ensuring clear protocols on the issue and allocation of controlled assets are in place and that these are audited regularly for adherence to the procedure;
* Ensuring clear policies are in place for the control of issuing assets, and that these are regularly checked for suitability and accuracy;
* Ensuring that contact details for all 3rd parties who provide on-call support are documented and available to all those needing them;
* Maintaining a register of all force systems, identifying lead stakeholders (SPOCs), the underlying infrastructure which they reside on, and the function which the system serves;
* Maintaining a register of all force hardware consumables, and ensuring that stock control processes are in place to maintain a suitable float;
* Supporting the Change and Asset Manager in the effective management of software and physical assets;
* Reporting on the ownership of all technology assets across the force;
* Reviewing and analysing license information in advance of contract renewal cycles;
* Aadopting a culture of promoting customer service excellence;
* Providing timely and accurate management information to senior stakeholders and decision makers;
* Undertaking analysis after release and setting the plan for upcoming change;
* Ensuring any processes and standards specific to this role are well documented and understood throughout the department;
* Supporting service transition activity, ensuring the Configuration Database, Assets, License, and cost impacts are understood and built into forward-looking plans;
* Assisting the Change and Asset Manager in the governance of CAB and other key forums.
