Medical Mavericks take a mobile hospital into schools, providing students with hands-on experiences using real medical equipment. Our mission is to inspire young people to consider exciting careers in the NHS and healthcare industries.
We are looking for a Logistics Coordinator to manage the operational and logistical needs of our freelance delivery team and equipment movements. This role is essential to ensuring our workshops can run smoothly and efficiently, while maintaining high standards of service delivery. The role allows you to work from home, but you will need to be able to travel to Fordhouses in Wolverhampton where our kit and vehicles are based.
Key Responsibilities:
1. Freelancer Coordination:
o Allocate freelancers to shifts using Google Sheets.
o Add freelancers to shifts on Google Calendar and send event invites.
o Communicate weekly plans of action to freelancers.
o Coordinate equipment movements, pick-ups, drop-offs, travel arrangements, and vehicle assignments with freelancers.
2. Equipment Management:
o Liaise with drivers and logistics companies to move equipment to and from schools.
o Reset, charge, repair, and replenish consumables for equipment between shifts.
o Allocate equipment to appropriate shifts.
3. Vehicle Management:
o Conduct basic vehicle checks (e.g., tyre depth, oil, lights).
o Schedule and take vehicles to MOTs and service appointments.
o Fuel vehicles before shifts.
4. Reporting and Tracking:
o Track and review end-of-day reports submitted by freelancers.
o Follow up on outstanding reports and address any issues raised.
o Collate photos and documents into the Google Drive.
5. Administrative Duties:
o Create cost-of-sale reports for individual shifts weekly.
o Track workshops delivered by each freelancer.
o Order consumables and manage inventory.
o Book accommodation and liaise with freelancers on arrangements.
o Organise temporary insurance for vehicles when required.
o Onboard new freelancers by collecting data and providing access to company systems.
o Assist with some marketing activities as and when required.
6. Emergency Support:
o Be available on the phone between 7:45am and 8:30am on workshop days for emergency calls or troubleshooting.
Requirements:
* Exceptional organisational and time-management skills.
* Strong communication skills for liaising with freelancers and logistics partners.
* Proficiency in using Google Sheets, Google Calendar, Google Drive & Whats App.
* Basic technical skills for resetting and troubleshooting equipment (e.g., laptops & printers).
* Ability to perform basic vehicle checks (tyre depths, oil levels, lights).
* Problem-solving mindset, especially in time-sensitive situations.
* Flexible and able to adapt to changing priorities.
Preferred Skills and Experience:
* Previous experience in logistics or operations.
* Knowledge of medical equipment handling (training will be provided).
* A proactive and resourceful approach to work.

About the Flexibility of the Role:
There is some flexibility in when and how the hours are worked. Part of the role is being available on the phone for the team on the mornings of when we are visiting schools, in case of emergency. Typically, this is around 7:45am – 8:30am.
With regards to organising & sorting equipment, this may need to be completed during the evening or weekends, but typically can be completed during the day with the capacity we have. In addition, you’ll have the opportunity to liaise with freelancers in advance to organise your own time and schedule. In busier periods (March, June & July), there may be a need for overtime.
Salary: £26,000 pro rata for 20 hours per week.
