The position is within the Timpson House supporting the Design and Maintenance teams.
Position: Maintenance Coordinator
Hours of work will be 9-5pm, 5 days per week.
Job role:
To support the Design and Maintenance teams in meeting the needs and expectations of our customers both internal and external through efficiency and effectiveness.
Key responsibilities:
* Working with the Maintenance Support Manager to provide administrative support on all maintenance helpdesk calls, assessing the requests and actioning as necessary.
* Log all reactive maintenance job requests on the in-house IT software system and track and update each job as it progresses.
* Liaise with the area teams with clear communication and update on the progress of each job.
* Liaise with the branch colleagues to ensure the jobs have been completed effectively. Updating the IT system comprehensively and closing jobs on a timely basis.
* Liaise with building and property maintenance contractors when obtaining quotations and negotiating prices for small repair works.
* Liaise with contractors on a timely basis to check/update each job, and to ensure Timpson are receiving best value for money.
* Responsible for the Timpson House security with occasional out of hours callouts required.
* Liaise with the Gardeners and Window Cleaners for the Wythenshawe 4 sites, ensuring they attend on a timely-basis to carry out the works.
* Process contractor invoices ready for payment, query anomalies with the contractors, set up new suppliers, etc.
* Departmental admin scan, rename, and save documents to the electronic branch files.
* Any other general duties within the Maintenance Support Department.
Requirements of the role:
* 1-2 years of administration experience, preferably within Maintenance administration and logging requests to contractors.
* Able to prioritise workload and think on your feet.
* Experienced in Microsoft Office and Excel.
* Work as a part of a team with an outgoing personality.
* Willing to go the extra mile for our customers.
* To have a good telephone manner.
* Exceptional organisational and problem-solving skills.
* Good verbal and written communication skills.
