Role Purpose:
An opportunity has arisen for a Team Administrator to temporarily provide administrative support to the Decarb team in planning, supporting, and coordinating diaries, meetings and events. You will be the focal point and coordinator within the Decarb team for all visitors to Fortescue Zero (FZ) and all visits from FZ to customers/suppliers.
What you will do
* Organisation of critical meetings/workshops for the Decarb team on and off site, including all administration, venue booking and any transportation requirements.
* Liaising with required attendees to ensure availability.
* Occasionally attend meetings and workshops to gain a thorough understanding of the activities within the team and record actions.
* Ensure actions are progressed and reported back to the relevant senior manager.
* Maintenance of the Decarb organisation charts in liaison with FZ HR Business Partner
* Support the FZ HR Business Partner with recruitment if required.
* To oversee visits to and from FZ ensuring they are correctly planned and executed in accordance with the visitor template and associated global mobility policy.
* Liaison with colleagues overseas to understand visa requirements for each visit and assist in the collection of documentation.
* To ensure all travel arrangements are in place for each visit, making flight, taxi, restaurant (hosting) and hotel bookings as necessary.
* To ensure all visitors are correctly hosted throughout their visit, including desk space and meeting room allocations and catering as necessary.
* Management of diaries of several senior programme leaders.
* Networking across the business in order to support to team members in various areas.
* Ensuring department office area is presentable and policies are followed.
* General office administration duties.
About you
* Experienced administrator with exceptional organisation skills.
* Excellent communication skills.
* Good Microsoft word and Excel ability.
* Diligent and flexible.
* Good problem solver.
* Comfortable juggling conflicting priorities.
* Confident dealing with people and the aptitude to host national and international visitors.
* Driving licence will be required as some travel involved.
