Title : Personal Assistant to Managing Director (Fixed Term Contract - Maternity Cover) Reporting to: Managing Director Areas of Responsibility : Acting as a key liaison point for the MD across the organisation Job Purpose: To provide a confidential, effective and efficient PA support to the MD Duties to include: Meeting organisation and associated requirements for MD & VIP visits including all travel and accommodation arrangements (most of which are overseas) Management of enquiries to the MD, being the initial point of contact for the MD Day-to-day administrative tasks as required, manage MD correspondence and filing systems Organising and minute taking at all MD meetings Ability to update/support preparation of business presentations Preparing agendas, pre-meeting briefings and meeting papers, noting action points and following them up Receiving and dealing with telephone calls using own initiative Visa Applications for sponsored employees Providing high quality and professional office hospitality to visitors, Partners and clients Experience/Expertise required in the following areas: Previous experience as a PA to MD or Senior Management level essential Be commercially astute, a strong team player and have the ability to demonstrate initiative. Exceptional interpersonal and communication skills Experience of electronic diary management Ability to organise and plan own work Ability to assimilate large quantities of written and verbal communication quickly and produce accurate, timely minutes in both English. Excellent attention to detail Demonstration of the ability to work under sustained pressure and to tight deadlines A flexible, pro-active approach to work including the ability to prioritise and re-prioritise Ability to deal with sensitive information and be independent.
