To provide day to day supervision of the departments at Royal Stoke ensuring staff rotas are complete.
To respond to queries and problems as they arise, and if necessary escalate to your manager.
To provide cover during periods of absence for the Support Manager to ensure the smooth running of the department.
To carry out the Individual Performance Reviews of staff.
To contribute towards the training of Health Records Staff and support career progression.
To assist other managers within Health Records in training in Health and Safety issues, i.e. Manual Handling and Lifting.
To have responsibility for the management of Health and Safety within the Health Records Offices.
Ensure that all casenotes received into the department are logged onto the casenote tracking system and filed in a timely manner using the core departmental systems (for example IFit, Medway and iPortal).
To support the scanning process ensuring all clinic packs and documents required to be scanned are completed in a timely manner.
To contribute to the development of standard operating procedures and key performance indicators for the department and if required advise service users on compliance relating to the management and storage of patient health records.
To participate in the out of hours on call rota for the retrieval of casenotes required in an emergency.
To provide help when needed within the Subject Access Office.
Main duties of the job
To act as a supervisor overseeing the day to day workloads within Health Records Department and to provide a focal point for the provision of casenotes to wards, clinics and departments, and the provision of a quality health records service. Also overseeing the day to day workloads within the Subject Access Team and the Scanning Department.

Job responsibilities
To provide day to day supervision of the departments at Royal Stoke ensuring staff rotas are completed and giving instruction that all key tasks are covered, escalating issues as they arise.
To respond to queries and problems as they arise, and if necessary escalate to your manager.
To undertake inductions of Health Records staff.
To provide cover during periods of absence for the Health Records Support Manager to ensure the smooth running of the department.
To carry out the Individual Performance Reviews of staff within your area of responsibility.
To contribute towards the training of Health Records Staff and support career progression.
To contribute towards the training of other Trust staff whose work involves Health Records functions.
To assist other managers within Health Records in training in Health and Safety issues, i.e. Manual Handling and Lifting.
To have responsibility for the management of Health and Safety within the Health Records Offices.

Post will require frequent periods of sitting or standing, filing and inputting at the keyboard for most of the day, and will include elements of lifting, sorting, filing, general handling of case records as well as pushing trolleys with patient notes.
Post will mainly have contact with staff and may be subject to occasional distressing or emotional circumstances as part of their daily tasks when supporting staff within their area of supervision.
To take every reasonable opportunity to maintain and improve your professional knowledge and competence, ensuring that all Statutory & Mandatory Training is completed within the required timescales.
To participate in personal objective setting and review, including the creation of a personal development plan.
To assist with the personal development reviews of staff.

Person Specification
Experience
* Current/Previous team supervision experience.
* 2 years experience within NHS organisation.
Health Records Experience
* Health Records Experience.
* Subject Access Experience.
