We have an exciting opportunity for a full time Appointments Coordinator and Virtual Ward Administrator to join the Specialist Pneumonia Intervention Nurse (SPIN) Service.
The post holder will be responsible for ensuring that the day to day administration and co-ordination of clerical and clinical procedures concerning the Pneumonia service including clinics and specialist database use.
It would be expected that the post holder maintains good knowledge of the systems used within the Pneumonia service in order to enable accurate monitoring and collation of data to provide quarterly reports and that departmental systems and division wide working practices involving the management of outpatient keep pace with organisational development activities.
The post holder will also be responsible for admin tasks involved with the Community Acquired Pneumonia (CAP) Virtual Ward.
The successful candidate will assist with the smooth and efficient running of the virtual ward liaising with patients and staff of all levels, including medical staff. You will provide an efficient administrative support service to the Virtual ward to assist with the smooth and efficient running of the service, liaising with patients and staff of all levels, including medical staff.
The suitable candidate will manage the daily administration of the patients admitted to the virtual ward service. This includes ensuring that the correct communication is given to patients and clinical staff.
To register clinic patient referrals on HISS and other UHL software as appropriate and ensure that appropriate clinic appointment letters are sent out in keeping with Trust policy
To assist in the day to day running of the Virtual clinic including slot management
To be responsible for liaising with Consultants re urgent enquiries
Locate and prepare patient records for the clinic
Inform the imaging department of all required CXRs for the daily clinic including preparing relevant paperwork
Responsible for queries and enquiries regarding appointments
To be responsible for the timeliness, accuracy and integrity of the date which is recorded on paper and electronic systems
To ensure that approved clinic results are communicated to specialist nursing team
To manage the daily administration of the patients admitted to the virtual ward service. This includes ensuring that the correct communication is given to patients and clinical staff.
To ensure that data & reports are accurate and available as required.

About the University Hospitals of Leicester NHS Trust:
To register patients for follow up in virtual clinic on HISS in a timely manner after discharge from hospital.
To be aware of any overseas visitor or private patients that are referred and notifying relevant departments
To be responsible for the timeliness, accuracy and integrity of the data which is recorded on paper and electronic systems.
To ensure any and all actions are accurately reflected on both paper and electronic systems.
To ensure that all patient records are maintained accurately on CliniTouch, Systm1, CITO, and any other relevant systems inclusive of that within the Microsoft office and google products used within the service.
To maintain efficient office filing systems. Review, update/develop as required.
To carry out general office duties including the processing of post efficiently and effectively, to action routine correspondence on receipt and forward to appropriate member of staff for review.
Liaise and support virtual ward administrator for all services as required.
To arrange team meetings when requested, using diary management and organisational skills to accommodate various staff across CMGs and external stakeholders.
Support service with audits, metrics and service improvement projects as required.
Be a visible, accessible and credible member of the SPIN team.
Support the service leads with the process of change and new services, demonstrating tenacity, drive, professional integrity, balance and perspective. Motivate all team members, and display a supportive, confident attitude when communicating with all colleagues.
