Prepare information and data for meetings and presentations. Maintain and update accurate soft and hard copy files and records, including document control. Take notes, minutes, and action lists for meetings, ensuring follow-up and closure of actions. Ensure procurement and provision of PPE and workwear for new starters, including issuing PPE lockers and assisting with queries. Maintain adequate stock for vending machines across the port and ensure regular replenishment. Handle accounts payable queries, update biweekly AP reports, and receipt services as instructed. Address queries from emails and support team members. Assist the Office Manager in arranging social functions and staff events. Coordinate, prepare, and process purchase requisitions and supplier invoices. Complete and submit expenses accurately and timely, ensuring cross-charging where necessary. Plan and coordinate travel arrangements, ensuring compliance with company policy. Enrol new starters on vending machine use and book fleet vehicles. Manage meeting rooms and associated support. Perform general administrative duties such as filing, typing, post, printing, and document preparation. Arrange meetings, book facilities, and organize refreshments. Handle any other ad hoc administrative tasks. Update electronic communication boards.
