Introduction About the Great Ocean Road Coast and Parks Authority The Great Ocean Road Coast and Parks Authority (the Authority) was established on 1 December 2020 to deliver better protection and management of the iconic coast and parks of Victoria’s Great Ocean Road. In partnership with Traditional Owners, our role is to manage, protect, rehabilitate and foster resilience of the natural, cultural and heritage values of coastal Crown land and marine waters along the Great Ocean Road. As a public land manager for the Great Ocean Road coast and parks, we manage a wide variety of public land from National Parks to coastal beaches to town foreshores. We also lead visitation policy and planning for the scenic landscapes along the Great Ocean Road to manage visitation and provide a great visitor experience. All revenue raised through our commercial endeavours is reinvested into the coast to ensure the Great Ocean Road region can be enjoyed now and for generations to come. Description About the position The Planning Support Officer provides high-quality administration support and customer service to stakeholders seeking the advice. The role will play a critical support function for effective service delivery and day-to-day functioning of both the Planning Team and the Climate Action and Resilience Team. Therefore, the key responsibilities of the role will require the Planning Support Officer to: Answer phone calls, arrange meetings, confirming appointments and processing of incoming support requests in a professional and timely manner. Provide exceptional customer service to all stakeholders. Assist the Directorate to identify, establish, improve, and maintain administrative processes. Provide short term relief to other Authority administrative functions from time to time. Contribute to the improvement of administrative policies and procedures where appropriate. Oversee filing and administrative systems for the Planning team. Attend meetings, taking minutes and preparing presentations as required. Ensure the operation, maintenance, security of registers and software systems are kept up to date and in good working order. Maintain a thorough knowledge of the Planning team’s business and the services provided. Participate in relevant training and development activities as an effective team member. Develop and maintain positive and effective working relationships with a broad range of people and organisations. Positively represent the Authority to the public, community, government and other organisations. Complete other duties consistent with the position and skills, training and competencies of the employee, where required and/or requested by management from time to time. Skills And Experiences About you Significant prior experience in administrative support. Experience working in an administrative capacity within a planning, government and/or project management environment would be looked upon favourably. Well-developed written communication skills, including ability to prepare correspondence and reports for a variety of audiences. Exceptional oral communication and interpersonal skills with the ability to work with a broad range of people from a variety of backgrounds and experiences. Excellent organisational and time management skills, including the ability to prioritise and manage multiple and competing work tasks and deliver to agreed deadlines. Ability to work autonomously and within a small team. Strong customer service skills and excellent problem-solving skills for dealing with customer complaints. Demonstrated high level proficiency in Microsoft Office suite software applications. Ability to adjust and adapt to changing work demands and routines whilst meeting service commitments.
