Job summary An exciting opportunity has arisen to recruit a full time Administration Assistant working Monday to Friday 9 am - 5 pm. The base will be Thurrock Hospital, but the role will involve covering our various receptions and services on a regular basis. The areas we cover are Thurrock, Basildon, Brentwood and Billericay, so you will be required to travel to other bases on a weekly basis and sometimes be advised at short notice where your base for that day will be. We are looking for someone with the ability and confidence to use their own initiative and prioritise tasks. The post holder must possess excellent communication skills and relevant administrative experience, must be flexible and have attention to detail. We are looking for someone with a positive and compassionate approach to supporting patient care. The role will involve face to face contact and telephone calls with our patients and due to the nature of the services we carry out administrative support for, these can sometimes be distressing. Main duties of the job When based on reception the role will involve you dealing with patients, visitors and staff. You will also be completing varied admin tasks to support our clinical colleagues and ensuring they are completed accurately and in a timely, efficient manner. Some of the duties of this role are minute taking, formatting letters, booking appointments and inputting data onto the systems we use. You will need to be computer literate and competent in using Microsoft Word, Excel and Outlook. You will be given full training on the systems we use. You will be required to handle incoming and outgoing telephone calls to the multi-disciplinary clinical staff in a polite and efficient manner, receive and deal with telephone enquiries and respond appropriately to callers, including high risk and vulnerable patients and carers. You will also need to maintain strict confidentiality at all times. You will need to record accurate messages and follow them up in accordance with department guidelines. You will deal face to face with patients and families seeking further help/information and need to be aware of the needs of the patients. You will exchange confidential and/or sensitive information, where appropriate, between staff, patients, and carers in person or on the telephone.
