Office Administrator (Part-Time)
Location: Thornaby
Hours: 3 days per week (8:30 AM – 3:00 PM) with potential for increased hours
Salary: £27,000 Pro Rata
We are looking for a highly organized and proactive Office Administrator to support our growing team. This role is perfect for someone with strong administrative skills, attention to detail, and the ability to multitask in a dynamic environment.
Key Responsibilities:
- Scheduling & Coordination – Manage diaries, schedule customer jobs, and update calendars accordingly.
- Job & Supplier Management – Maintain job logs, request quotes, and order parts from suppliers.
- Customer & Supplier Liaison – Communicate updates between customers and suppliers.
- Quotations & Invoicing – Prepare quotes for maintenance/machine sales and raise invoices on Xero.
- Purchase Orders – Arrange and request purchase orders from customers and suppliers.
- Service Review & Follow-ups – Identify follow-up work and schedule future service visits.
- Team Coordination – Work closely with engineers and subcontractors, providing job details.
- Marketing & Communications – Update contacts in Outlook and Mailchimp for marketing campaigns.
- Logistics Support – Arrange deliveries, collections, and book staff accommodations.
- Accounts & Documentation – Verify supplier invoices and upload them to the accounts system.
What We’re Looking For:
- Experience in an administrative role, ideally in a technical, engineering, or service-based environment.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
-Proficiency in Xero, Outlook, and Excel (or similar accounting and CRM software).
-Excellent communication skills to liaise with customers, suppliers, and internal teams.
-A proactive, problem-solving mindset with keen attention to detail.
