Join our dynamic team as a Fleet Manager, where you’ll oversee and optimise a diverse fleet of cars and vans, including owned, leased, and rented vehicles. Your pivotal role will involve sourcing and procuring new vehicles, managing their disposal, and maintaining high service levels across the business. You'll ensure our fleet operates efficiently and cost-effectively, analysing data and producing insightful reports to inform strategic decisions.

Core Responsibilities
1. Regulatory Compliance: Ensure the fleet operates in line with all relevant legislation and regulations.
2. Budget Management: Maintain and optimise the fleet budget, focusing on cost efficiency.
3. Data Analysis & Reporting: Analyse fleet data and provide actionable reports to the Director of Shared Services.
4. Demand Projection: Predict ongoing demand for cars and vans to meet business needs.
5. Contract Negotiation: Negotiate contracts and service agreements with suppliers, seeking the best value vehicles.
6. Sustainability Initiatives: Analyse the fleet’s carbon footprint and propose opportunities to integrate greener vehicles.
7. Tender Management: Run tenders, evaluate bids and make commercially sound recommendations.
8. Supplier Relationships: Build and maintain strong relationships with current and new suppliers.
9. Due Diligence: Ensure procurement sources are secure and sustainable.
10. Fleet Renewal: Manage a rolling renewal program for vehicle replacement and disposal.
11. Hire Management: Oversee the on/off hire process, ensuring damages/losses are recovered.
12. Fuel Card Management: Collaborate with the Finance team to manage fuel cards and maintain accurate records.
13. Cost Tracking: Use software to support detailed records of fleet costs in coordination with the Finance Team.
14. Driver Support: Address driver queries promptly and effectively.
15. Telematics Monitoring: Ensure trackers are fitted on all vehicles and monitor fleet utilisation.
16. Insurance Interface: Manage interactions with our insurance provider to handle claims efficiently and minimise losses.
17. Service Response: Ensure timely vehicle maintenance and servicing to reduce downtime.
18. Record Keeping: Maintain detailed records of vehicle inspections, services, faults, and driver behaviours.
19. Collaboration with People Team: Work with The People Team to recover damages and fines when necessary.
Environmental Responsibilities
You will conduct thorough risk assessments for individuals and ensure compliance with all general health and safety protocols. This involves a detailed evaluation of potential hazards, implementing measures to mitigate risks, and documenting your findings, in compliance with New Forest Care Policy and Procedures.
Data Protection
Ensure all aspects of the role comply with Data Protection and GDPR, considering third-party risks, cyber threats, and data security.
Additional Duties
Be prepared to undertake additional duties or projects as assigned by the directors or line manager.

Familiarise yourself with our Safeguarding Policy, ensuring you understand and comply with all its requirements. This is essential to protect the welfare and safety of the children in our care.
