Our clients are seeking an experienced Operations Director to join the team in Newcastle.
DUTIES AND RESPONSIBILITIES
1. To maintain, observe and evaluate existing standards on a regular basis and develop new standards to enhance the service experience in collaboration with other heads of departments.
2. To consistently deliver excellent standard of service to ensure complete satisfaction to all stakeholders.
3. To oversee the management of the ASTs and ensure all rents are received on time and the accounts are up to date.
4. To set personal goals and objectives that can be measured in self-progression and improvements in the level of business.
5. To perform any other related duties or special tasks as requested by the board ensuring seamless service for clients and efficient running of the departments.
6. To encourage and train team members to deliver the same exceptional standards and service.
7. To plan the labor resources efficiently and effectively to meet the service standards for the department.
8. To manage the supply chain that maintains the portfolio of properties, including but not limited to, contractors, suppliers of other services and any other related service and solution providers.
9. To ensure all complaints are dealt with within 24hrs with a written response.
10. To keep a tight trail of all correspondence.
11. To ensure all compliance and health and safety is adhered to in the business.

3. Possess excellent management skills and able to manage relations and situations with other managers, partners and suppliers.

Financial Responsibilities
1. To ensure that team productivity and allocation of resources are in line with business needs and budget.
2. To ensure that cost of sale and operational costs for the business are kept in line with budget or level of business.
3. To ensure that the purchase procedures are adhered to.
4. To analyze the monthly stock takes where required, feedback and comment on results and ensure that any concerns are acted upon immediately within the relevant department.
5. Accurately forecast revenues/expenses for the business.
6. To generate ideas of up-selling and promotions to ensure and raise profitability.
7. To positively promote and encourage sales awareness and opportunities within the business.
8. To participate in yearly budget exercises and propose suggestions for any required investments.
9. Anticipates revenue/cost problems and manages the timing of discretionary expenditures to stabilize cash flow with other heads of department.
10. Analyse financial and operational information on an ongoing basis and if needed helps to adjust business plans, labour requirements and operating costs.
11. Ensures heads in each cost zone are trained in financial control procedures for cash, transfers, inventories and receivables, and that these procedures are regularly followed.
12. Produce accurate, timely financial reports as stipulated and agreed by the board.
13. Identifies major revenue and expense opportunities and possible problems.
14. Actively encourages the team to be conscious of allocations and cost savings.
15. Accurately forecasts lets occupancy changes based on the changing market conditions (e.g. increased competition).
16. Achievement of revenue and cost objectives.
17. Ensure the accurate loading of prices and inventory for the entire property portfolio.
18. Ensure all companies that are given credit fill in the appropriate credit check forms and that they have passed a credit check.
19. Ensure age debtors is up to date for monthly rental income and payment is received from tenants in line with the terms and it is properly reconciled and posted against the correct invoices.
20. Ensure all invoices are sent out on time and tracked.
Human Resources Responsibilities

3. To ensure that all employees grooming standards are at an acceptable level.

5. Supervise human resources functions, including recruiting, selection, orientation, training, performance planning and evaluation, pay and reward programs to maintain a qualified front desk work force.
6. Maintains a positive, cooperative work environment between staff and board.
7. Emphasizes employee selection, training and development as a way of doing business.
8. Ensures all employees know their objectives.
9. Ensures personnel files are accurate and comply with both local and central laws and regulations.
10. Administers personnel policies fairly and consistently.
11. Resolves employee grievances in a fair and timely manner.
12. Ensures employees understand policies, pay procedures, bonus plans and benefits.
13. Helps develop management talent by acting as a mentor for direct reports.
14. Ensures completion of training objectives and development plans.
15. Monitors and maintains acceptable turnover levels.
Training and Development Responsibilities
1. To ensure that all new starters are effectively inducted into the business.
2. To identify training needs and carry out quality training and coaching sessions in a systematic and professional way to meet the needs of the people and the business.
3. To supervise departmental training plans and ensure that training is carried out effectively.
4. To ensure that daily briefings and monthly departmental meetings take place to create successful communication within departments.
5. To ensure that goals and objectives for managers and Supervisors are set, developed, and reviewed on a regular basis.
6. Ensure weekly team meetings and quarterly employee appraisals are carried out.
The role is full time office based.
