We're looking for a Capacity Admin Support to work at our Telemedical Richmond hub for 28.5 hours per week over Monday, Wednesday, Thursday and Friday. This is a permanent hybrid role, with 3 days in the hub and 1 day working from home. (More details can be found in the further information section below).
The role will support the work of the Telemedical Services in Richmond through close monitoring of templates, appointment availability and resource interpretation.
As a Capacity Admin Support, you will undertake related activities by providing telephone back up for appointment bookings, managing the incoming suitability reports, auditing client case notes and providing admin support to the function as a whole.
About You
We're looking for someone who has previous experience of telephone and administration work within a customer care environment, who has exceptional communication skills, particularly listening skills and someone who is able to complete tasks under pressure and short notice.
You will also bring:
* Experience of inputting and basic reporting and formulas
* Non-judgmental with the ability to maintain strict confidentiality at all times
* Able to multi-task and move between roles easily
* Good prioritisation skills with the ability to process multiple instructions
Main duties of the job
* Administer bookings for clients accessing BPAS services, whether they are NHS funded or fee paying.
* Ensuring the agreed percentage of client case notes are audited to agreed standards and offer feedback regarding audit process to management.
* Support the effective workflow within the clinical team, and liaise with multidisciplinary teams internally and externally when required.
* Pack mail, ensuring accuracy of information and confidentiality is adhered to and to dispatch all outgoing post.
* Create, populate and complete CAS records and dealing with unit queries, escalating where necessary.
* Maintain stock levels of refreshments and stationary and keep accurate records of what is ordered including costs.

Further information:
Salary: £28,373 to £32,716 per annum pro rata, depending upon skills and experience, inclusive of the OLW payment.
Location: This will be 3 days based at the hub with 1 day working from home. More will be discussed at interview.
Working Pattern: 28.5 hours per week

* Thursday 09:00 - 17:00
* Friday 08:00 - 14:00

Person Specification
Qualifications
* English and Maths qualification either GCSE A to C or Functional Skills Level 2 or GCSE 4* or NVQ level 2
* Competent in Microsoft Office programmes including word, excel, outlook and Microsoft teams
Experience
* Previous experience of telephone work
* Proven experience in a customer care environment
* Experience of inputting data and basic reporting and formulas
Skills
* Ability to calm stressful situations
* Ability to juggle multiple conflicting priorities
* Ability to input, sort and use formulas in MS Excel in order to create / utilise reports
General
