Band 4 Personal Assistant to the Director of Finance is required for a large public sector organisation based through the South Eastern Trust Location: Linenahll Street, Belfast Pay Per Hour: £12.86 Part Time hours: 37.5 hrs JOB SUMMARY/MAIN PURPOSE: The postholder will be required to provide support to the relevant Director(s) in an efficient, effective and high quality manner and to act as a conduit between the Chairman, Chief Executive, Directors and the local facilities within their organisation to ensure that effective communication is in place at all times. The post holder will be responsible for the coordination of their workload to meet the demands of the Director(s) and the Chairman and Chief Executive where appropriate for ensuring necessary follow up action and deadlines are met. The role requires a high level of concentration in the analysis of data, production of detailed reports, and adaptation to frequently changing priorities and refocusing of efforts in line with changing circumstances. It will require the post holder to focus on several different key areas on a day to day basis and have skills in Word, Excel, Access and Power Point applications. MAIN DUTIES / RESPONSIBILITIES 1 Responsibility for the organisation and provision of personal assistant duties and support to the relevant Director. This will include diary management, dictation, word-processing, mail management, file maintenance and the preparation of papers, reports, briefings etc 2 Research, collation and presentation of information and drafting correspondence and reports on behalf of the Director as necessary 3 To undertake typing and word processing duties as required, including transcribing minutes, reports and letters 4 To prepare reports and presentations as required, using Microsoft Office (Word, Excel, Access and Power Point applications) 5 To service meetings including the preparation and timely issue of agenda and papers, production of minutes and actions and responsibility for initiating and follow up action arising from various meetings 6 To maintain diaries and make appointments and arrange meetings as required 7 To plan and co-ordinate conferences, workshops and events involving liaison with a wide range of take holders such as service users and carers and national experts (preparing agendas, arranging appropriate venue, coordinating travel arrangements, hospitality and resources), project support 8 To organise travel arrangements for the Director and Senior Managers, including booking flights, transfers, hotels and meeting accommodation as well as preparation of itineraries ESSENTIAL CRITERIA 2 A-levels and 5 GCSEs (Grades A-C) including English and Mathematics AND 18 months relevant experience working in a secretarial role to include typing, diary management and communication with all levels in an organisation OR OCR Stage 2 Text Processing (Part 1) & Stage 2 Word Processing/Typing (RSA3) or equivalent OR 2 years' experience in high level word processing (report writing, spreadsheet maintenance etc) If you are interested and available for this position, please upload your CV to the link or contact Kelly Cunningham at Kelly.cunn To be shortlisted for this role all applicants MUST meet the essential criteria.
