Inch Cape Offshore Wind Farm
Inch Cape is a 1080MW offshore wind farm situated 15km from the Angus coast in the North Sea. The power it generates will be transmitted 85 kilometres to a new substation at Cockenzie, in East Lothian from where it will enter the national transmission system. Inch Cape is a more than £3 billion infrastructure project that will make a significant contribution to the UK’s carbon emissions reduction targets. Once complete its 72 turbines will generate enough electricity to power almost half the homes in Scotland.
Summary of Assignment:
The Office Manager will be responsible for organising and coordinating office operations and procedures to ensure organisational effectiveness and efficiency in the Edinburgh office. Some of the main areas of focus will be: responsible for the Inch Cape office move, managing general office administration and reporting to the Project Director as Personal Assistant.
Travels required: Mainly WFH with some travels to the Edinburgh office for meetings as and when required (around 3 days a month, normally within the same week and communicated in advance)
Main office: 40 Princess Street, EH22BY, Edinburgh
Working hours: Flexible times - Monday to Friday - 7.5h a day (normally between 8am and 6pm)
Responsibilities
Office Management:
* Oversee the day-to-day operations of the office, including facilities management, supplies procurement, and vendor management.
* Manage all aspects of the move to new office premises.
* Manage office budgets and expenses, ensuring cost-effectiveness and adherence to financial guidelines.
* Design, implement and update office policies.
* Organise and coordinate meetings, appointments, and events as required.
* Maintain office efficiency by implementing and improving administrative systems and processes.
* Act as the primary point of contact for all office-related inquiries and requests.
* Provide general office management and administrative support.
* Arrange general business travel, conferencing, venue hire arrangements for Inch Cape project team.
* Take a lead role in office layout design and refurbishments set ups.
* Co-ordinate office risk assessments according to safety policies, procedures and guidelines.
* Ensure office environment is maintained to a satisfactory standard, monitoring conditions and arranging repairs as necessary in line with health and safety requirements.
* Process invoices and corporate payments in SAP.
* Manage corporate lets, contracting, billing, and itinerary checks.
Personal Assistant to Project Director:
* Work on a one-to-one basis on a variety of tasks related to the PD’s working life and communication to help maximize his time and optimize his productivity.
* Complete a broad variety of administrative tasks including: management of diary activities, setting up conference calls, processing monthly expenses and expenditure, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans (national and international), itineraries, and agendas.
* Plan, coordinate and ensure the PD’s schedule is followed and respected.
* Provide a "gatekeeper" role, managing access to the PD's time and office.
* Prepare and collate relevant documents, briefing papers, reports and presentations for meeting packs.
* Typing, note taking and secretarial duties on request.
* Organise team communications and plans events/functions, both internally and offsite.
Skills:
* Strong organisational, problem solving and planning skills.
* Demonstrate excellent team working and communication skills with all levels within a business.
* Confident communicator.
* Ability to work under pressure and meet deadlines.
* Ability to work independently and as part of a team.
Knowledge:
* Previous experience working as an office manager and being responsible for all office management systems and procedures.
* Previous experience organising and implementing facilities management of an office building.
* Intermediate computer skills and experience with Microsoft packages (Outlook, Word, Excel etc.).
Qualifications:
* Degree qualified (Desirable).
